Administrate activities related to billing, record keeping, personnel, and logistics.
* Monitor and supervise the performance of Admin staff and assign daily duties as required.
* Assess the project admin staff, both performance and behavior, as per company
requirements and policy.
* Update the action logs of senior team members’ tasks and report to the Project Director for
his follow-up.
* Be responsible for the creation, maintenance, updating, distribution and archiving of the
project data both paper and electronic data like progress reports, progress invoices,
presentations.
* Monitor attendance and compile monthly manhours in advance to invoice preparation.
* Collect monthly team timesheets, prepare monthly invoices, complete approvals and
submittal to client, update the invoice log and follow up payment.
* Take part in hiring and mobilization activities, draft client approval letters, discuss
positions candidacy with client and update the organization chart, hiring and mobilization
status report.
* Take part in the preparation of PMP, monthly progress report and communication plan.
* Participate in offices set-up, anticipate and monitor office and site logistics requirements
and coordinate with corporate department for procurement and delivery.
* Resolve administrative issues related to the project operations.
* Assist in organizing workshops, events, by arranging for facilities and caterer, issuing
information or invitations, and controlling event budget.
* Regularly check, maintain and replenish management office and work site supplies.
* Ensure office equipment is properly maintained and serviced.
* Help in establishing and improving policies, procedures, templates used to perform project
administrative and internal communications or documentation
