Maintain GM calendar.
Coordinate transportation and accommodation for GM business trips.
Attend internal meetings and maintain action list and follow up with Managers to close the respective items in a timely manner.
Prepare internal/external correspondences.
Maintain filing system manual and digital.
Collect and distribute incoming/outgoing mails and couriers.
Prepare power point presentations as required by GM /Managers.
Screen telephone calls and divert to the concerned personnel.
Handle Photocopying, fax, scanning, book bindings, arrange conference calls as required .
Monitor/order stationary items, business cards, safety materials, PPE for the department personnel and prepare service entry sheets in SAP.
Arrange/schedule weekly/monthly functional meeting with Department Managers.
Maintain reservation log books for pool car and conference rooms.
Prepare various reports in Word, Excel and PowerPoint.
All other general Admin assistant works.
Maintain central filing system.
Answering Telephone calls and handle inquires.
Verify/cross check monthly/weekly Invoices of sub contractors.
Create visitors pass requests through Security Database System.
Prepare Maintenance notifications in SAP.
Inspect/report contractor’s proper housekeeping at refinery work area.
Prepare/arrange weekly safety meetings for Process Engineering and PSC Section. Rely urgent messages in and out from the Superintendent’s office.
Maintain reservation log books for department conference rooms.
Maintain a file of standard correspondence and form-type letters for quick and easy distribution.
Maintain diary for Section Superintendent.
Bachelor of Commerce from University of Kerala, Trivandrum.
