Governing and controlling of all incoming & outgoing mails, documents, drawings and other specifications through database management system.
Deliver inbound/outbound information in an accurate and efficient manner to appropriate.
Maintain/keep the hard copies and soft copies of drawings and other records with the associated logs by scanning and indexing them electorally.
Verify Pre-qualification documents submitted by contractors before forwarding to Client (SWCC). Prepare Material approval requests, TSPC, Drawing revision notifications (DRN), RFI’s, MRIR etc.
Review of Invoices and reports submitted by Contractors
Facilitate & monitor circulation of documents for authorized signatures.
Create, update and prepare required templates, letters, Services Agreement, reports and statements related to Planning & Engineering department.
Maintain document lists & records updated to monitor document's status, due date & progress.
Responsible for archiving of project documents.
Preparing Minutes of Meeting of All meeting held with contractor, client
Preparation of Letters and other documents

Oversee receiving, warehousing and handling of materials
Prepare Material Request form as per the Managers request based on inventory level and send to Procurement Manager for Purchase
Responsible of Local Purchases if require
Coordination between managers, Engineers, Purchasers and store personal to keep optimal flow of material receiving, storing and despatching.
Coordinate with the store keepers and fleet department for prompt material flow to support construction and shipping to construction site
Perform stock analysis of materials and determine optimum control levels
Provide regular, systematic counting and verification of physical inventories to establish inventory record accuracy
Coordinating with Engineering department to order material based on the BOQ
Track inventory performance in order to better plan, interpret variances and correct problems
Ensuring the implementation of the principle of FIFO and LIFO
Request and Follow up for Data Sheet of materials and submit for Client Approval.
Co-ordinate with QA/QC and Consultant for Material Inspection
Coordinate with subcontractors for despatch of materials to construction sites.
Tracking and Following up the P.O.
Monitoring and Controlling the Delivery & Despatch of Materials
Preparing SSRV and updating the database
Monitoring & Controlling the products in Warehouse and Issuance
Maintain and Updating the Database & Information System
Give reports and updates to all managers
