Preparing letters, fax, Internal Memos’ to consultant, client and sub-contractor’s etc.
Create, organize and maintain all project related files, records, drawings and correspondence with complete suitable archiving and storage of all completed projects, electronically and hard copy.
Preparing and sending work programme to service authorities
Uploading, registering and distributing all in-coming Mails / Documents / Drawings through the Document Control Management System
Receipt (including quality check) paper and electronic documents and records and review for legibility, completeness and approval in accordance with defined procedures
Scan paper documents / records into electronic format and verify electronic files against paper originals for legibility and completeness
Timely and accurate production of paper documents and drawings and the correct distribution.
Communicate effectively and positively with document originators, users and project/client staff regarding document status, retrieval and any other requests as may be assigned by the DC Lead.
Preparation of all documents and communicating with employees in order to make submissions early.
Keeping all the records and reporting to Head office for the staff attendance, leave, clearance, requisitions ets.
Making enquiries for project related quotations, samples, materials etc..
Handling petty cash and reporting to accounts.
Other related Responsibilities
Planning and Programming
Maintaining works status and updating drawing instruction date, works starting date, completion date and NOC Status etc.
Preparing daily programme and submit to Consultant office
Preparing weekly & Monthly programme for to submit consultant office.
Maintaining and updating Major Works status and forward to top managers
Online Application and follow up of various site NOC’S
As per the Site requirement the following NOC’s are applying through RTA Portal
1. Construction NOC
2. Trial Trench NOC
3. NDRC NOS
4. Microtunelling NOC
5. NDM NOC
As per the Site requirement the following NOC’s are applying through DM Portal
1. Dewatering NOC for ground water
2. Demarcation
3. Utility Points
4. Control point co-ordinates
5. Right of way service coordinates
As per the Management instruction the following NOC’s are applying through DEWA Portal
1. Building NOC from Electricity and Water Dept.
2. Applying for Electricity and Water Connection
For constructional purpose other NOC’s from Authorities also expedited for example Traffic Diversions for Road crossing and Reinstatement Works, parking, DUSUP NOC, s Military NOC’s. etc.
Obtaining NOC from DUSUP and Military for the site work
Distributing NOC’s to the concerned staff and reporting to the Project Manager about the NOC Status
Co-coordinating and following all department NOC’s like NOC Section, RMS Section, DEWA, Etisalat, DUSUP, Military and Du etc
