Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Joins the Chairman during clients meetings.
Completes projects by assigning work to clerical staff; following up on results.
Prepares reports by collecting and analyzing information.
Coordinate sales team by managing schedules, filing important documents and communicating relevant information.
Prepares Purchase Orders, Proforma Invoice and Sales and Purchase Agreements
Coordinates deliveries and shipments and prepares documentation such as Delivery Advice, Commercial Invoice, Packing List, Certificate of Origin.
Ensure the adequacy of sales-related equipment or material.
Respond to complaints from customers and give after-sales support when requested
Store and sort financial and non-financial data in electronic form and present reports
Handle the processing of all orders with accuracy and timeliness
Inform clients of unforeseen delays or problems
Monitors and keep tracks of all materials stock in warehouses
●Involve with Marketing Planning and coordination with clients and the CEO and delegate plans to freelancers and the team.
●Manages events and program launching for the CEO, including booking event venues, sending out invitations to client database
●The point of contact between the executives and company employees/clients and manage information flow
●Manages executives diaries and arrange their daily schedule (set up meetings, travel, speaking engagements and events)
●Formats information for internal and external communication memos, emails, presentations and reports
