- Responsible for providing administrative support to program staff to run their activities in an effective way, and to ensure the smooth running of program activities by providing administrative
support to them.
- To ensure good communication between support staff and program staff on the field.
- Ensure the respect of good working conditions on the field.
- Preparation of the monthly treasury forecasts and budget forecasts.
- To prepare monthly cashbook and responsible for all the invoices.
- Complete accounting documents by entering respective accounting codes, project code, contract code, third party code & closed accounts at the end of month.
- To prepare monthly HR database.
- Identify the needs for training to improve quality of staff performance.
- Participate in technical evaluations of support staff performance (formal and informal).
- Makes job announcement & organize the recruitment in cooperation with the respective department.
- To organize and supervise the local purchasing system, ensuring the respect of ACF purchasing procedures.
- Making a rental contracts with vehicles companies and lands for Base.
- To ensure that quotations are kept up to date and regularly analyzed.
- To monitor the base warehouse needs and storage capacity.
- To supervise the stocks / warehouse activities: follow-up the implementation of ACF storage procedures, registration of items, stock cards follow-up, stock reports.
- To ensure the good use, condition and protection of equipment and do trainings to the users if necessary.
- Fleet management.
