Assist project manager & project team in all project communication with my administration skills & exposure to UAE market
All previous mentioned duties.
Coordinate and manage the Project Office/site Office. Interact with all projects personnel, subcontractors, Suppliers and inspectors.
Follow up with various departments so as to track all Projects activities starting from foundation up to finishing. Assist in handling erection, installation, modification, maintenance and commissioning of projects.
Monitor progress of work, control communication between senior management and junior staff.
Ensure the flow of information between different parties involved in the projects works.
Proven ability to handle pressure and time management.
Obtain work permits and license from municipality and other concerned local authorities.
Issuance of projects submissions and letters to the main clients, consultancies and all authorities with concerns to the projects.
Implement management plan to meet the deadlines of all project activities.
Assist the managers and decision makers to execute the main task of the projects.
Handle the hotel bookings and the travel tickets for managers, inspector, engineers and technicians.
Register the incoming and the outgoing correspondence and follow up the final approval of submissions.
Translate all incoming correspondence from government entities, ministries & municipality (Arabic to English).
Archive the documentation of the completed projects.
Projects Coordinator duties.
Provide office support services in order to ensure efficiency and effectiveness within the Office.
Main Activities:
Receive, direct and replay telephone messages and fax messages.
Direct the general public/sales to the appropriate and concerned departments.
Maintain the general filing system and file all correspondence
Assist in the planning and preparation of meetings, conferences and conference telephone calls.
Make preparations for Sub-Con and consultant/client meetings.
Maintain an adequate inventory of office supplies.
Respond to public/sales inquiries.
Provide word processing and secretarial support .
Type confidential documents and submissions and arrange delivery to consultant office.
Translate Arabic correspondence (Arabic to English) and forward to Sr. Management.
Arrange Hotel/Flight booking as per schedule and as required.
Provide support to the Chief and Sr. Administrator.
Main Activities:
Assist the Chief and Sr. Administrator as requested.
Provide administrative services for the Chief and Sr. Administrator.
Assisting head of purchasing department in collecting quotations from appropriate suppliers.
Assisting head of account department in preparation of LPOs and maintain LPOs log and filing.
Perform other related duties as required and with minimal supervision.
