Assignments generally include such types of work as preparing complex reports and maintaining
complicated records requiring careful selection, classification, or compilation of information from several sources
Provide document control and organize a comprehensive filing system for SAP ARIBA, SABIC Portal (RFQ, Invoicing and updating some file documents as needed)
All received and outgoing correspondence on projects in accordance with corporate policies and procedures
Maintain a record of submittals to the client and record the date of responses to the client thru MS Office 365 Suite
Assist other members in the team to set-up and maintain filing systems in an organized manner
Prepare the project setup checklist and standard templates as per project requirements
Archive and disposal of documents during project close-out following the contract and project requirements
Familiar with range of proprietary software including Microsoft Office (Word, Excel, PowerPoint, Outlook, One Drive 365), Adobe Acrobat 7.0 Professional, Canva, Data Server
Uphold the company’s mission and vision with every event
Oversee the planning and execution of at 15 or more events and 1, 000-person events a year
Comply with all national and local regulations
Develop a complete understanding of the requirements for every event
Book venues, schedule guests, draft and finalize contracts, and lock down day-of logistics
Develop content for event materials and work with a graphic designer to produce
Developing a variety of event concepts
Managing and maintaining event budgets
Handle day-to-day administration of events and programs, including order placements, EO reviews,
vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution
Creating and organizing the event schedule for multiple events
Coordinating vendors and logistics
Identifying potential clients and building relationships with them through phone calls, emails, and face-to-face meetings
Developing and implementing marketing campaigns, including creating advertisements, conducting market research,
and creating sales presentations
Developing and implementing sales plans, including identifying target clients and creating sales strategies based on their needs
Creating and managing websites, brochures, flyers, or other printed materials used in promotions
Establishing pricing for products based on market conditions and competitor pricing
Creating a budget for a campaign and maintaining records of expenses and revenues
Engaging in post-sale activities such as follow-up communication with customers to ensure satisfaction with products or services
Providing information about products and services to customers over the phone or in person
Identify the promotional programs; select the distribution channels; and evaluate the effectiveness of advertising
Creating and organizing the event schedule for multiple events
Developing a variety of event concepts
Oversee and facilitate all aspects of meeting planning from site selection, vendor negotiation, event registration,
marketing, onsite staffing and post-event reporting
Work on multiple national meetings, large-scale conferences and events for a variety of clients simultaneously
Work with Association Executives on digital management of contracts, speaker bios, session descriptions,
handouts, RFPs, etc.
Create and send event marketing communications via email, web, print
Send and track correspondence with speakers and sponsors/exhibitors
Coordinate creation of event publications and syllabus materials
Prepare BEO information with event venues
Coordinate travel, lodging and expenses for participants traveling to meetings
Create and manage budgets and collection of registration, sponsorship income and exhibit fees
Work directly with registrants on problems and inquiries
Develop and maintain solid relationships with exhibitors/sponsors
Create/design event materials and signage
Oversee meeting preparation, supplies ordering and packing/shipping of event materials
Staff events and manage onsite event registration; includes occasional travel to regional and national meetings
Data entry and daily administrative functions
Create invoices and receipts as requested; track expenses for event budget reconciliation
Create and analyze online evaluations and prepare post-event reports
Handling minutes of meetings for Team Management
Reporting to GM, Director of Food and Beverage and Director of Sales and Marketing
Monitor the website and social media (facebook, Instagram and twitter)
Identify potential clients and conduct research to identify best ways for assist in satisfying their real estate needs
Canvass prospective clients and develop leads through a variety of approaches including telephone calls Arrange meetings with prospective clients
Accompany and assist brokers at client meetings
Provide analytical support for cash flow and other financial analyses as well as gather relevant market data and prepare market surveys
Prepare Requests for Proposals (RFPs), Letters of Intent (LOI’s) and capabilities and proposed business terms to prospective clients
Network with other brokers to identify best practices
Help build strong client relationships by delivering “best in class” services which includes providing relevant information to clients on timely basis
Provide administrative support to the Technical Managers including travel and calendar management, preparation of expense reports, and maintenance of electronic and paper files
Prepare, edit and format documents, presentations and spreadsheets
Basic research, data compilation and database maintenance for projects and documents
Maintain specified committee information and relay changes to other functional areas, as appropriate
Manage meeting arrangements, including researching host country and visa requirements, hotel negotiations, registration of meeting participants, meeting facilities and catering
Provide administrative support in preparation for meetings, conferences and other events, including compiling, formatting, posting and distributing materials, receiving, assisting in the preparation of presentations and developing and maintaining files
