Executive Assistant for the Executive Director of Finance at the American University of Sharjah

• Provide administrative services for the Finance Department
• Managing meetings & agenda for the Executive Director of Finance office
• Getting minuets for the Executive Director of Finance office meetings
• Handling communications & letters in both Arabic & English
• Responsible for issuing students TWMC letters
• Maintain & request the office supplies & requirements for the department
• Responsible in organizing all Finance events on or out of campus with all the required arrangements (booking, catering, seating, gifts and invitations)

• Order printing requirements for the department ( order and follow up)
• Being part of Finance team during registration to assist students & parents in their inquiries (Answers telephone queries, assist in fees calculation, email require details, solve problems and more as required)
• Coordinate between the Finance Dept. and other University departments
• Preparing invoice for AUS vendors & keep track of invoices log
• Professional in Banner (Management System) and the admin user for the online tel. system ( part of the MIS team during the online tel. system project)
• Responsible for banner training for new users ( all AUS users )
• Working on a special telephone system to prepare phone bills for all AUS staff & faculty
• Working on AUS document tracking system
• Receiving CVs and analyzing them when required
• Manage the department budget and keep the expenses with in the approved budget ( for all the purchase requirements during the physical year)
• Assist the new staff to get all the required access and requirements (email, tel. extension, office requirements stationary and PC and more as required)
• Help set / update policies and procedures when required
• Updating the finance department web page and forms on AUS website.
• Handling the safe and keep records for all the items in.
• Communicate with the banks and the auditors
• Starting from 2016, handling events for the COO office (up to 500 staff)
