▪ Leading the development of contract reporting systems and monitor compliance to financial reporting frameworks.
▪ Implementing Company’s financial procedures including allocating Cost Centers and Work Orders.
▪ Provide guidance, as needed, on contract matters to Site Teams and contract counterparts
▪ Supervise contractual reporting requirements and ensure compliance to agreed deadlines, precision and clarity
▪ Leading development of reporting dashboard to track and report Process KPIs.
▪ Leading interface meetings between Contracts and Operation Teams to resolve project issues.
▪ Partner with the relevant finance workload to confirm exact delivery of finance requirements.
▪ Developing Monthly Report and align with Management Office to efficiently allocate deliverables.
▪ Monitoring and executing all contractual undertakings by Company.
▪ Implementing Safety, Security, Quality, Ethical Standards, Lessons Learned, and Performance Management in accordance with Business Policies, Procedures, and Guidelines.
▪ Developing multiple management system documents (procedures, process descriptions, guidelines, forms etc.).
•Develop contract acquisition plans for management’s approval, which includes contracting strategies and budget estimation. Drafting scope of work and review the design work and studies in consultation with relevant discipline engineers for all maintenance/plant modification contracts along with technical evaluation criteria.
•Generate and prepare reports and feedback with regards to equipment failure Follow-up with Procurement function on the tendering process i.e. to resolve any technical clarification/exceptions taken by vendors, perform technical evaluation till the final execution of contracts and mobilization of vendors at site.
•Supervise bidding and issuance of Service Orders, develop negotiating plans and participates in direct negotiations and contract’s scope clarification when required
•To monitor contractor’s performance are in accordance to the contract’s scope of work, including evaluating and endorsing contractor’s agreed KPI
•To control the usage of Contracts “Provisional Sum” against any Site Instruction issued to Contractors
•To identify maintenance/plant modification works beyond in-house resources that needs to be contracted-out. Co-ordinates with concerned discipline engineers to prepare detailed specifications, scope of work, pricing templates etc. to be sent to Procurement for bidding and contract development. Identify works outside contractual scope & prepare CR for variation.
•Review of contracts and invoices, ensure claims are made in compliance with the Contract and that all supporting documents are provided per the invoicing checklist for validation and approval of payment
•Develops acquisition plan and coordinate with procurement department to obtain the required bidding support.
•Supervise and coordinate implementation of the Preventive Maintenance (PM) as per approved PM plans
•Supervise the records maintenance of retention monies, warranties and ensures timely issuance of completion certificates
▪ Process the stages of the Handing Over of new assets to ADDC.
▪ Coordinate, with the Consultant, all the required submissions of General Documents and As-Built Drawings from the Contractor before issuing the Provisional Acceptance Assets Certificate to be as per the contract.
▪ Perform site visits and inspections of assets to be handed over to ADDC (includes visual inspection, trial pits, Tests, TP Inspection, etc.)
▪ Witnessing the finalization of the handing over stage of Mega Developments at site.
▪ Assuring the execution of all snag list items after issuing the PAAC.
▪ Coordinate the internal authorization of the Final Acceptance Assets Certificate upon a successful commissioning of project and the take-over.
Arranging payments.
▪ Administers budget variance tracking for the project.
▪ Preparing and analyzing costing for tenders.
▪ Regularly generates cost forecasts, trending reports, contingency drawdown maintenance to ensure budget adherence
▪ Analyzing costs, reviewing change orders and invoices, and processes budget revisions
▪ Produce enquiry review and costing sheet for every enquiry and prepare quote to send through Production Manager.
▪ Develop, apply, and manage the contracts correspondence system.
▪ Prepare final contract documents and obtain signatures for execution of the contract
▪ Examine and Evaluate Contract Price and Proposals.
▪ Supervising the execution of the work at site according to the contract's specifications and method of statement.
▪ Arranging payment certificates in Consultant’s format.
▪ Witnessing the factory inspections at country of origin and completing and submitting the Inspection Reports.
▪ Providing awareness on contractual claims.
▪ Identifying, analyzing and developing responses to commercial risks.
▪ Preparing and analyzing costing for tenders.
