Presales to Projects
 Create Project ID in SAP S4 and maintain project documents, receive construction BOQ from presales, receive supplier quotes, validate against BOQ, Receive RFP, Tender documents, design drawings, Receive shop drawings, equipment schedule in the SharePoint folders
 Assist presales team for material and drawings submittals
 Ensure successful handover of presales data to projects team by coordinating the presales and projects team by calling them for a meeting
Procurement
 Manage and update procurement trackers
 Raise purchase requests through SAP ARIBA S4
 Follow up with suppliers to check material availability and lead time
 Approving the Good Receipts / Service Entries
 Highlight long lead times to presales / projects team and actively coordinate with suppliers
Projects
 Recourse scheduling and tracking
 Handle applications for site passes, work permits etc.
 Schedule material delivery to site as per Project Manager’s/ lead’s confirmation and requirements
 Tracking engineering deliverables preparation as per project plan / highlight to Project Manager if not on track
 Assist projects team for shop drawings and documents submittals
 Work with manufacturers to obtain warranty, COO, test certificate etc.
 Prepare the project O & M Manuals, Training manuals and completion letters, DLP and warranty certificates to submit to client.
Projects to AMC
 Obtain as-built drawings and handover documents from PM and upload in the sharepoint
 Obtain completion certificate from PM and upload in the sharepoint
 Initiate handover of projects to AMC manager by coordinating the projects and AMC team by calling them for a meeting
 Resource scheduling
Maintenance Coordinator:
 Schedule the maintenance team as per the PPM schedules.
 Arranging the site access by applying required permits (mall / police)
 Coordinating with client and send the AMC team on site for the issues informed by Security / any responsible person from site and reporting them back on email with valid details and Engineer’s report.
 Maintaining the Maintenance reports and Engineer’s reports (documentation)

 Maintain SIRA portal
 Upload project data like as-built drawings, equipment schedule, SIRA approval, project details etc. to raise SIRA audit inspections and all related letters for the projects
 Updating client regarding the audit reports and the recommended changes by the SIRA inspector
 Schedule the team to rectify the comments mentioned in the audit reports

 Uploading all details in portal for the site verification
 Camera mapping to be done in order to get approvals from videoguard
 Updating the portal as per the details received from the projects team
 Scheduling the team on site during the verification schedule from videoguard team
