• Ensuring that the company fully complies with relevant standards and procedures set out for the project. Briefing and training the project team on document control procedures. Maintain controlled hard copy files of project documents. Process, review, log, copy, distribute and file various Operations documentation. Prepare and process documentation for scanning and archiving. Extract reports from the standard office automation and effective document management system. Interface with document control personnel to ensure necessary project records are captured. Set up and maintain project file system.
• Prepare and distribute notices, agendas and minutes. Provide support, as needed, including correspondence, meeting minutes, proposals, presentations, business technical documentations and reports. Generate and organize presentations material for meetings or workshops with management and clients.
• Facilitate Site Access to the Sub-Contractors and Vendors. Support Project Controls team to supervise functions of Site acquisition team. Site administrative activities, site acquisition reports, Detailed System Design documents, Acceptance Test Procedures.
• Responsible for discipline performance within the office. Coordinate and ensure smooth flow of information. Make recommendations for work process improvements, procedures and practices.
• Provide support for special assignments, as requested by PMO Head. Support to the business as Business Conduct Champion for Oman operations.
Worked closely with Design Head at L&T's Project Management Office.
Establishing the System and Procedure for Engineering Design Team.
Coordination with various discipline project team members.
Providing support to different design managers.
Supervision of daily uploads of drawings and documents in ACONEX web-based document management system.
Organizing various workshops and presentations with in-house design team and that of Engineers’ and Client Representatives’.
Other responsibilities include project administration, manpower coordination, managerial reports, project coordination
meetings and inter-discipline workshops.
Regular meetings with clients to determine project needs and to present new and modified designs were another key responsibility of this role.
Overall Goals: Played a key role in establishing a new design process to minimize rework and efficiently move from concept to interim design, detailed design, Issued for Construction, Shop Drawings, As-Built Drawings and Execution
at Project Site.
An important part of this new process was to work closely with in-house engineers and draft persons to create and deliver the latest revised drawings with all the comments duly incorporated and updated to get a trusting partnership based communication and collaboration with Engineering Consultants, Project Management Consultants and Client Company.
Also, as a senior document controller, directed and guided juniors and document control team members.
