Prepares reports by collecting, analyzing, and summarizing data and trends.
Review vendor contracts on a timely basis and make changes if necessary.

Attend industry functions, such as events and seminars, and provide feedback and information on market and creative trends
Work with sales teams and other internal colleagues to meet customer needs
Understand the company's image stock and secure the rights to new images and other media that will continually enhance the company's performance.
Management of services and processes to ensure that the establishment has the most suitable working environment for its employees and their activities.
Introduce new leasing strategies and ensure that targets are met.
Work with Senior Management to develop a facilities strategy & tactical plan to ensure that we provide a safe, healthy & productive work environment.
Review reports of expenditures for previous fiscal year and proposed improvements to facilities in order to prepare budget estimates for upcoming fiscal year.
Research vendor’s / supplier’s capabilities, identify a pool of candidate vendors / suppliers for project consideration
Assist in the negotiation of contracts with an optimum mix of price and quality
Assess the quotations submitted and selecting the bidders with which the commercial/financial negotiations may be conducted
Conduct the financial and contract negotiations at the appropriate management level
Manages the competitive bidding and selection process
Negotiate contract terms, pricing and payment schedule, ensuring that the agreements with the vendors / suppliers are commercially advantageous
Prepare tenancy contracts for the leased units and contracts for services.
Manage all service vendor contracts including but not limited to cleaning services, security, pest control, landscaping and maintenance.
Focus on using best business practice to improve efficiency.
Monitor and ensure the performances of the contractors are in line with the approved project schedule and as per the approved contract.
Meet leasing agents and clients.
Ensure that all agreed services as per the lease agreements are in place.
Arrange for the repair and maintenance of equipment and structures as necessary.
Manage projects undertaken by GM (major projects includes Revamping of LPG facilities in a live plant of Emirates Gas and Feasibility study of Dubai Gas Network).
Ensuring that all contractors are meeting the goals and standards that have been put in place to ensure excellent service.
Ensuring the effective preparation and delivery of all project events and meetings and production of all necessary documentation.
Monitoring internal flow of documents and maintaining a tracking system for follow
up.
Keeping a track of legal documents / contracts that needs renewal.
Monitor attendance report of staffs, overall administration of GM’s office, carrying out necessary purchases for GM’s office.
Reviewing all documents including monthly sales reports/purchase requisitions/purchase orders/Tender-Board Approval/ Expenditure Requests.
Preparing pre-qualification documents, contract documents, bid analysis, project reports, monthly reports etc.
Manage the overall office administration.
Brief new staffs on the functioning aspects of the office.
Monitor and prepare reports on targets achieved.
Review and answer general correspondence.
Maintain database and update it periodically.
Carry out purchases for the office.
Maintain time and attendance sheet of staff.
Meet with prospective clients on behalf of director etc.
