Job Profile:
Provided support on the full spectrum of HR functions in Middle East office.
Staffing:
• Short listing resumes and Coordinate with concerned department Managers for scheduling interviews.
• Issuing offer letter to the selected candidates.
• Managing on boarding and conducting HR Induction for new joiners.
Payroll:
• Generate Daily attendance report to head office.
• Submit data on Middle East Payroll and overtime pay to head office.
• Responsible for employees’ leave salary arrangement.
• Coordinate with Singapore HR and Accounts Officer (ME) for Payroll process.
Administration:
• Responsible for Company license renewal etc.
• Process employment visa and contracts of employees.
• Taking care of all new and renewal of insurance such as Medical Insurance, Workmen Compensation, Plant & Machinery, Vehicle insurance, Public Liability insurance etc.
• Ensure staff apartments are renewed within the specified budget upon timely approval from the Management.
• Act as a key person for coordinating with Hamriyah Free zone Authority.
Resignation/Termination:
• Handle Resignation/Termination of employees.
• Prepare final settlement and arrange visa cancellation.
• Conduct Exit Interviews.
Other Responsibilities:
• Ensure employees’ grievances are handled and sorted out as per company procedure.
• Maintain accurate records of the employees.
• Compile updated job descriptions.
• Prepare all internal, external letters, Memo etc.
• Provide requisite reports to HR Manager/ME Accounts
• Coordinate with HSE & QMS team during HFZA Inspection.
Staffing:
• Maintain and update annual manpower requirement data sheet
• Develop job description in consensus with HR Manager and Line Manager.
• As per requirement post advertisement of vacancies in Newspaper.
• Source suitable resumes from internal database, recruitment consultants, employee referrals, networking etc.
• Obtain feedback for the sourced resumes from HR Manager and Line Manager.
• Schedule interviews and conduct aptitude test for shortlisted candidates.
Joining Formalities:
• Issue offer letter to selected candidates
• Prepare Personnel file of the selected candidate
• Apply selected candidate’s employment visa.
• Make necessary arrangements to get the new employees on board.
• For overseas candidate arrange tickets, airport pick up and staff accommodation.
• Notify reporting date of the new employee to Training, QMS, HSE, IT, Accounts and functional department.
• Coordinate with IT department for arranging workstation, email id and prepaid SIM cards for the new employee.
• Coordinate with Training department for scheduling new employee’s induction plan.
• Notify everyone in the organization by email about new employee’s arrival.
• Create master in ERP by capturing employee’s personal detail and upload personal documents in Database Management System.
• Issue access card to new employees
• Arrange salary advance to new employees
• Liaise with Banks/Exchange House to open payroll accounts for employees and update payroll account details in ERP
Employee document management:
• Apply/renew employee documents such as residence visa, work permit, employment agreement and EID. (Dubai, Abu Dhabi, Sharjah, Fujairah, Hamriyah)
Employee Transfer:
• Collaborate with overseas PROs/Recruitment firms for Saudi/Qatar/Oman/Kuwait/Bahrain visa stamping
• Arrange tickets, airport pick up and staff accommodation
• Update organization details in ERP
Exit management:
• Arrange visa and labour card cancellation for resigned/terminated employees.
• Ensure to collect Clearance certificate, Exit Interview Form, EID, Medical Insurance card, training certificate, port passes, and payroll account closure form of resigned/terminated staff.
• Ticket booking for resigned/terminated employees.
Documentation:
• Prepare Service Purchase Requisition, Local/Overseas Purchase Requisition and Service Confirmation Note in ERP for tickets booked, placement fee etc.
• Update employee’s personal details/documents in ERP and in respective personnel file ( Renewed Passport/Labour Card/Visa/EID)
Others responsibilities:
• Promptly respond to employee queries in a professional manner
• Draft Circulars and Memos
• Draft letter as per employee’s request / as per company requirement (NOC-Driving License, Internet connection, Salary Certificate, Salary Transfer Letter, Appointment Confirmation, Promotion, Relieving Letter and Termination Letter etc.)
• Maintain Organization Chart
• Work in line with QMS & HSE officer and support in ISO documentation for HR
• Forecast HR department’s budget
• Provide relevant reports to HR Manager/Line Manager on offer/visa/new hire status.
• Collaborate with Company PROs for applying new employment visa/renewing residence visa, work permit, employment contract, EID etc.
• Liaise with Operation Managers of Saudi Arabia, Bahrain, Oman, Qatar, Kuwait & India.
• Provided a draft on Recruitment Policy of the Organization
• Issue offer letters, give induction and handle joining formalities of new employees
• Apply, renew and cancel employment visas, labour cards, labour agreements for Dubai, Abu Dhabi, Sharjah, Hamriyah and Fujairah
• Apply visit visas for Kazkhstan, Oman and visa stamping for Saudi Arabia
• Apply / renew/ cancel port passes for Jebel Ali, Sharjah, Hamriyah, Oil field security pass, Naval pass and Seaman's book
• Renew Company documents such as Trade License, Chamber of Commerce, Immigration card and Tenancy contracts
• Facilitate in opening employee payroll account and issue employee ID card
• Company Vehicle Maintenance
• Responsible for repair and maintenance of Staff accommodation and Office Space
• Support HSE activities
• Compile Job profiles and KPIs of employees
• Update employee details in ERP and personnel files
• Assist HR Manager in sourcing resumes, scheduling interviews and conducting aptitude test for candidates
• Prepare Circulars and Memos as per Manager's instruction
• Budgeting and Petty Cash Management.
• Actively participated in preparing grading structure and conducting survey on employee engagement.
