As the Office Manager, Nishi is the primary contact for the Sidra Project administratively both within the company and externally. She deals effectively with staffing related HR/PRO issues in a highly professional manner. She is also in-charge with the Procurement and responsible for overseeing purchasing and supply management for the team. Prepares and Approve quotations and negotiates with the relevant parties concerning the needs of the project. Handles the project petty cash and prepares monthly report to the accounts department. Point of contact in receiving inquiries/questions about the project and other related issues. She also manages events for the team and negotiates directly with suppliers and service providers.
She’s responsible for the following: maintaining a timely and updated snagging invitation to the Client/Project Team; preparation of the monthly staff allocation and ensuring its correctness before submitting to the Commercial Manager; processing of correspondence related to commercial issues like payment certificates of all the contractors etc.; does the releasing of all reviewed technical submittals to the Main, FF&E and Medical Equipment (ME) Contractor. She’s also responsible for ensuring that all documents and drawing from all departments are properly signed by Sr. CM in accordance with the company’s documentation procedure before handing it over to KEO Document Control (DC); monitors and provides the status of all technical documents from the review team by daily updating of outstanding submittals records and provides weekly summary’s to the management.
As a Site Secretary Nishi served as the focal point with regards to technical documentation and provided full administrative support to the SMRC Project team. She prepared submittals, correspondence, minutes of meetings and other documentation that requires processing, filling, recording etc. During her time as a Site Secretary, Nishi was entrusted to deputize for the Senior Office Manager of the SMRC Project whenever they were on leave. During those times she assisted the Project Director; Construction Manager; Sr. Resident Engineer & Commercial Manager with all their administrative needs.
As Receptionist for the SMRC Project, Nishi served as the company’s representative. She was responsible for receiving/screening and proper allocation of phone calls; greeting and accommodating visitors accordingly by providing them with the necessary information and assistance they required. She also dealt with local and overseas courier deliveries, process incoming and outgoing mail and forward it to the concerned parties. She was also in-charge of the following: updates to the project directory, meeting calendar and conference room booking; supervise all the vehicles allocated to SMRC project; reporting and coordination of any office facility concerns that needed immediate attention and maintaining the sufficiency of office supplies stock. During secretary’s absence, Nishi covered their daily duties and responsibilities. She also provides assistance to staff and other resource groups as required.
Her job was sales oriented and included conducting extensive market research and study covering the entire Island of the Philippines; presentation of monthly business review for record tracking, setting of quotas and for identification of the improvements that must be completed in the following months; opening of special accounts like Department Stores, Boutiques, Hotels, Restaurants, Coffee Shops, Hospitals, Resorts, Golf Courses and Cooperatives within the Philippines to cater the products of the company. Nishi was also the key person in maintaining the company’s existing accounts, including assuring continuous growth in purchasing, merchandising and sales. She also attended to any other concerns of the client to meet their needs.
