Provides administrative and logistical support, focusing on achievement of the following results:
• Receipt of shipments, customs clearance arrangements, preparation of documents for UNDP shipments (received/sent), arrangements for shipments. Preparation of all necessary documentation, implementation of follow-up actions, drafting correspondence related to shipments/customs clearance.
• Ensure provision of reliable and safe driving Services by (Driving office Vehicles for the transport of UNDP Official and the UN High - ranking visitors and delivery and collection of the documents and other items.

• Arrangement of travel and hotel reservations, preparation of travel authorizations.
• Support to staff members and their dependents by processing requests for visas, identity cards and other documents in accordance with requirements of the United Nations and national government.
• Collection of information for DSA, travel agencies and other administrative surveys.
• Preparation of routine correspondence, faxes, memoranda and reports in accordance with CO SOP.
• Extracting, inputting, copying and filing data from various sources.
• Maintenance of files in Administrative Unit.
• Checking vehicle logs and preparation of the draft vehicle history reports and maintenance plans.
• Attending to the incoming calls to the UNDP office.
• Check the daily registry email and sent to concern department.
• Renewal vehicle license for UNDP & another UN agencies

-Provides support to office maintenance and assets management, focusing on achievement of the following results:

• Collection of information on assets management, maintenance of records and files on assets management.
• Maintenance of files and records relevant to office maintenance.

-Ensures implementation of operational strategies, focusing on achievement of the following results:
• Full compliance of administrative activities assigned with UN/UNDP rules, regulations, policies and strategies.
• Support in the provision of inputs to preparation of administrative team results-oriented work plans.

HR & Administration Duties at NBF

1. HR

a) Responsible for all factory personnel files & passports.
b) Monitoring the daily attendance by hand punch machine including all kinds of leaves (annual, emergency, hajj, umra, sick and short leaves) then preparing the monthly time sheet for salary.
c) Preparing the monthly salary sheet then posting to finance department for checking.
d) Preparing the scheduled reports weekly, monthly or annually requested by the management.
e) Prepare all the calculations of leaves & EOS benefits for employees.
f) Preparing the annual leave plan for all employees.
g) Opening new accounts for new labors in the bank for transferring the salaries.
h) Recruiting new employees and preparing job offers for them.
i) Preparing all the documents needed to (issue or renew) a medical health insurance for all employees.

2. PRO Follow Up: responsible for all documents of factory personnel (residency, labor contracts, labor ID cards & health card) and also the factory official documents (industrial license, chamber of commerce, civil defense certificate …etc) following
