• Facilities management and accountable for services such as cleaning, security and parking, to make
sure the surrounding environment is in a suitable condition to work
• Reception Team lead
• Duty Management and supervision of up to 5 members of staff
• Stakeholder Management including Gate-pass, Permit approvals and meeting planner management
• Dealing and managing couriers via DHL and UPS using service providers’ system and SAP
• Creating and processing Purchase orders and Invoices for office inventory and wares via SAP followed
up by quotation approvals based on best price and specification
• Auditing and managing office wares on a monthly and fiscal year basis, performing highly sensitive tasks and filing information and data as per the international requirement (GDPR Rules)
• Procurement management of samples for 7 different sources of shipments from 3 continents via SAP
system for Quality Assurance /Quality Control and Staff sampling
• Calendar management by creating roadmap of senior staff on a weekly basis
• Facility Management of office inventory maintained such as printers & card machines (MTZ)
• Coordinating with IT in setting up credentials, systems, and office equipment such as computers, laptops for new employees
• Dealing with maintenance contractors on a regular basis and ensuring issues to be solved in a
maximum of one week turnaround
• Updating line manager on a monthly basis of all facility expenditure based on actuals versus budget
via Excel tables and charts
• Answering screening and forwarding incoming phone calls to respected personnel
• Maintaining security by following procedures, monitoring logbook and issuing visitor badges
• Obtaining accurate client information by answering telephone calls, interviewing customers, verifying
and providing information
• Adhering high quality results by following standards and guidelines; recommending procedures
Training and workshops:
• Courier service providers’ system training via attending workshops for DHL and UPS
• SAP training by attending monthly workshops at the PepsiCo HR training college
• Aquila software training by attending online workshops provided by Aquila Inc.
• Online training for operating MTZ and other similar machines for creating and maintaining cards.
• Attended “Consulting essential workshop” for Scoping toolkit, Analysis toolkit and Evaluation toolkit at the PepsiCo HR training college
• Attended and successfully completed Front Desk Professional Image Building (FDPIB) provided by PepsiCo HR training college
