• Reception of new employee and direct him to concerned section in project for orientation of his duties and accessibility to assessment measures which he will be subject to during probation period.
• Receive copy of passport and 4 personal photos in addition to academic qualification and copies of experience certificates and copy of driving license.
• Issue ID card for employee within not later than three days for commencement of work.
• Medical checkup for new employee at one of medical centers specified by personnel department.
• Officially handing insurance card to new employee
• Follow up issuance of Iqama within not later than 90 days from employee arrival date.
• Follow up issuance of Iqama for engineer/accountant/river within not later than 10 days from date of arrival.
• Submit attendance description for all site employees on daily basis on Oracle system as per actual situation at site not later than 08:00 a.m. according to daily attendance sheets at site and copy of the same shall be retained at site.
• Warning to employees in case of repetition of absence without valid reasons on the specified format, and inform employee of the consequences of the same when receiving procedures Manual from personnel department, in addition to taking required administrative actions in case of repetition of absence without valid reasons in coordination with project manager in case of continuous or non continuous absence
• Confirm that overtime hours do not exceed the required limits for actual work to be performed at site and the same shall be directly submitted to projects management.
• Follow up cases of closing bank accounts for employees and act to solve problems related to ATM cards.
• Full and direct coordination with personnel affairs with regards to all work injuries and promptly send injured persons to hospitals.
• Confirm that injured person is having approved medical sick leaves.
• Provide personnel affairs by format for employee escape upon expiration of regular period in addition to taking all required actions in this regard.
• Follow up employee transfers to and from site location on Oracle program and confirm their execution of work at site and issue official notification in case they are not working at site.
• In case project employee is assigned to execute administrative job at site, such assignment format should be submitted before commencement of the same.
• Prepare a release on Oracle for transferred or terminated employee.
• Provide personnel affairs by a plan for annual vacations for site employees and follow instructions to be issued in this regards.
• Follow up with personnel affairs to confirm air booking for employee within 20 days from submission of the said plan.
• Submit visit and recruitment applications for eligible persons and follow up the same.
• Submit profession change applications for employees and follow up the same.
• Prepare loan applications for site employees Oracle system and confirm satisfying payment requirements
• Follow up expiration dates for Iqama and passports for site employees and renew the same as per instructions issued in this regards.
• Ensure that site employees had received Medical Insurance Cards (for them and families as applicable) and provide personnel department of feedback.
• Follow up case of service transfer upon completion of contracting formalities to transfer service on MOL system in coordination with personnel department.
• Finalize all administrative transactions relating to project employees at company administration office
• Follow up finalization of engineer registration at Saudi Engineers Authority and notify them of any requirements.
