• Maintain document control registers for all incoming and outgoing project documents.
• Making sure that all documentation records to be correctly stored and filed as per archive procedures.
• Compose routine project correspondence, transmittals, Letters, minutes, memos, etc.
• Perform quality control checks to ensure Consultant/Contractor generated documents comply with company document management system.
• Interacting with the consultant to handle situations pertaining to documentation issues and providing solutions based on the procedures.
• Ensure the smooth flow of documents and data to project team members, as per the project distribution matrix.
• Make necessary follow-up with the concerned Engineers/Managers for release of consultant, contractor and internally produced project documents.
• Prepare Document Status reports periodically for project management information for meetings and follow-ups.
• Uploading, processing and collaborating/distributing documents by using E-Builder & MS SharePoint Project Documentation Management software.
• Provide training & guidance on the usage of EDMS to the subordinates, the staff of Consultants, Contractors and Subcontractor.
• Reviewing, commenting and approving final handover dossiers as per Damac handover procedure manual.
• Coordinate and organize meetings within the project office, and with external clients.
• Maintain document control registers for incoming and outgoing project documents.
• Maintaining & updating the record of Concrete Cube Test Reports, Field Density Tests (FDT) & Material Sampling Reports on a regular basis.
• Ensure proper receipt, registration, reports, and distribution of project related technical documents, drawings, procedures and method statements from the Main Contractor.
• Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
• Follow-up responses to all submittals send for review/comments internally and externally.
• Prepare IR's, correspondences, Transmittals & monthly Quality Reports.
• Ensure that the latest revision and approval status of documents is kept updated continuously.
• Assist the Quality Inspectors on the day to day Quality activities.
• Maintain Document Issue Register as per approved PQP for the particular project.
• Responsible for preparation & submission of handover dossier to the Main Contractor & PMC (Project Management Consultant).
• Incorporating comments on handover dossier raised by TPI (Third Party Inspector), Main Contractor & Consultant by coordinating with QA/QC engineers.
• Follow up with the TPI & Consultant regarding Project Dossier issues & ICOC (Intermediate Certificate of Compliance) issuance.
• Collaborate extensively with external and internal auditors, providing in-depth assistance with periodic corporate audits.
