- Arrange meetings, prepare verbal notes, and researches in Arabic and English.
- Prepare and translate verbal notes and letters in Arabic.
- Support delegations and staff from Korea.(Hotel booking, restaurants reservation, airport VIP lounges, visit schedule, etc..)
- General affairs support:
- Handle matters related to obtain approval from MOFAIC for diplomatic pouches in weekly basis.
- Support in opening and managing bank account for staff and the Embassy.
- Provide necessary support for new employees (ID, driver's license, vehicle, moving, etc..)
- Maintain files of news reports, newspaper clippings and reference material from Arabic sources.
- Consular affairs support:
- Maintain network with UAE's police department, hospitals and prisons.
- Prepare official letters, TPNs and documents in Arabic and English related to consular matters >
- Provide interpretation assistance to non-English speaking visitors to the Embassy for matters related such as attestation, notarization and visa application.
- Manage and coordinate daily, weekly, and monthly calendars of CEO.
- Maintain executive ‘agenda and assist in planning appointments, board meetings, conferences, etc.
- Attend meetings and keep minutes of the meetings.
- Receive and screen phone calls and redirect them when appropriate.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.).
- Make travel arrangements for CEO.
- Handle confidential documents ensuring they remain secure.
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Conduct research and prepare presentations or reports as assigned.
- Able to trouble shout challenges as they arise.
- Ensure all technical documents, such as reports, drawings, are collected and registered in system notify personnel of updated document versions and how to access them.
- Interacted with calls and visitors and directed them to appropriate personnel
- Handle and distribute incoming and outgoing office letters, emails and memos, as required.
- Organized and scheduled all meetings and conferences of the department.
- Prepare invoices of financial statements and provide assistance in bookkeeping.
