Ensure that all the relevant project documentation are registered/maintained in the electronic document management System (EDMS). Develop Photocopies / Binding and transmitting of documents as part of the Client’s submission. Understand and manage Client EDMS system.
Liaise with Project Management & team, Client and Sub-contractors effectively and resolve problems and the issue’s relating to documentation.
Verifying documents structure and the accuracy of the data, so as to ensure clear and correct communications with the Client, the other stakeholders and the Contractor. Control, coordinate and supervise the issue and recording of all drawings and documents produced by designers, subcontractors and other third parties for our design and construct projects.
Responding to internal and external HR related inquiries or requests and provide assistance. Redirecting HR related calls or distribute correspondence and all other project documents to the appropriate person of the team.
Maintaining records of personal-related data in both paper and the database and ensure all employment requirements are met. Liaise with other departments or functions (benefits and other, etc.).
Support the recruitment/hiring process by sourcing candidates, performing background checks, assisting in shortlisting, helping HR to issue employment contracts, etc. Assist supervisors in performance management procedures.
Lead, direct, train and positively influence any seconded document control personnel. Manage the allocated project document control budget.
Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, and budget tracking. Purchasing office supplies, equipment, and furniture. Overseeing the maintenance of office facilities, and equipment.
Writing QMS policies and procedures for ISO 9001. Policies, processes and procedures required for planning and execution (production/development/service) in the core business area of an organization (i.e., areas that can impact the organization's ability to meet customer requirements) and the different types of QMS documentation, it includes documents such as quality policy, quality manual, procedures, work instructions, quality plans, and records.
