Checking of Sr.Vice President emails, letters, informing, analyzing and independently
proactively take appropriate actions on his behalf on a regular basis.
• Taking dictation, drafting letters, mails, memoranda, presentations, reports, and daily
correspondences.
• Organize internal/external meetings, managing and maintain schedules and appointments.
• Maintain Diary, remind the SVP & other reporting managers of the appointments
• Attend and participate in meetings as & when required.
• Recording, transcribing and distributing the minutes of meetings & circulate accordingly.
• Prioritize work get the work completed in timely manner.
• Maintain contact details of all levels of the Employees, clients, consultants, subcontractors.
• Co-ordination with Travel desk. Booking of Air tickets, Hotel arrangements, Airport
transfers. Prepare itineraries & provide the same.
• Record/Scan Business Cards & Updating the Card Folder.
• Processing of invoices, expense forms and reimbursements requests.
• Record attendance of all the staff members reporting to the SVP.
• Screening telephone calls. Organizing courier pickups.
• Meeting and greeting visitors at all levels of seniority.
• Filing and retrieving documents and reference materials. Document Management as per the
company standards.
• Working closely with senior managers to provide them with administrative support.
• Liaising with internal staff at all levels.
• Actively participate and organize parties & events.
Co-ordinate & help other colleagues as and when required.
• Coordinate with site team members. Gather site reports, work schedule, Compile & prepare
reports in a professional manner for the meetings/Presentation.
• Liaise and Support Project team.
• Co-ordinate with Associated offices globally.
• Ensure the company procedures are adhered to and suitable records are maintained.
• Identify ideas for continuous improvement of Company Procedures.
• Maintain good relationships with people at all levels.
• Maintained a high level of professional & confidentiality.
