• Provides administrative and clerical support to the Associate Dean
• Liaise between the Associate Dean and other internal and external officials and organizations
• Arranges meetings, compiles materials for meetings and agendas; takes comprehensive minutes at meetings, monitors required follow-up actions.
• Facilitate the Associate Dean Communication and correspondence both in English and in Arabic.
• Review mail (written and electronic) for content, respond accordingly, and draft responses to routine correspondence for appropriate signature
• Manages the electronic calendar for the Associate Dean. Schedules appointments, group meetings and conference calls.
• Manages the office electronic and paper filing system, photocopies, faxes and performs other daily tasks such as screening, logging and prioritizing incoming telephone calls, mail and e-mail.
• Provides word-processing, spreadsheet and presentation software services including drafting routine correspondence, drafting, editing and formatting a variety documents such as itineraries, reports, manuscripts, research proposals and other publications.
• Collates information on departmental activities and prepares special reports as necessary.
• Plans and organize the travel arrangements for the Associate Dean in coordination with Dean Office and HR.
• Assists with the preparation and logistical coordination of events and activities relating to the Associate Dean.
• Handling special projects as assigned
• Maintains confidentiality of information and performs other job related duties as required
• Complete Translations tasks as required
• Managing Law Academic email account
To maintain records and documents and provide administrative support in all required areas as designated by the Vice Chancellor for Academic Affairs.
Draft letters reports and correspondence and perform other administrative tasks to ensure the smooth and efficient running of the Sector from an administrative perspective;
Prepare and forward memoranda to personnel in the various divisions and sectors and act as focal contact should they require assistance, information or documentation;
Receive queries and explanations, if any, on behalf of the Vice Chancellor, and co-ordinate with the concerned personnel in Al Ain University to provide necessary clarifications;
Schedule appointments for and on behalf of the Vice Chancellor, arrange business meetings and coordinate the administration for arranging bookings and travel tickets, and record minutes of internal meetings conducted by the Vice Chancellor;
Provide information to callers, take dictation, compose and type correspondences, direct calls to appropriate officials and place outgoing calls on behalf of the Vice Chancellor;
Greet and receive visitors of the Vice Chancellor, inform the Vice Chancellor and ensure that the required attention and hospitality is provided to the visitors;
Ensure the Vice Chancellor's incoming and outgoing mails are handled promptly and efficiently;
Perform other tasks related to the administration function as they arise and as delegated by the Vice Chancellor.
