• Checks various human resources records, forms and tables for accuracy and initiates corrective action, as required; maintains and updates such records and other files and follows up, as necessary, and reviews documents and certificates as related to his/her section.
• Drafts routine correspondences, Personnel Action Forms and other forms;
• Collects and compiles information from files and prepares or assists in preparing and updating routine statistical and other periodic reports related to the functions of the relevant division/section.
• Maintains Temporary Assistance and Casual employees’ files and periodic evaluation reports for staff in his/her own section
• Receives, registers and distributes incoming mail and dispatches outgoing mail; attends to the reproduction, collation and stapling of various documents and materials
• Enters data on Human Resources Management (HRM) and Payroll System
• Performs such other duties as may be assigned
• Maintains documentations related to GMIP (Group Medical Insurance) amendments, additions, and/or deletions of beneficiaries and their dependents.
Training Part:
Keeping training materials up to date.
Posting advertisement regarding training issues, coordinating with concerned instructors, hotel reservation and other accommodations, preparing training materials and finally preparing training attendees certifications
Coordinate with trainer for the availability of course materials.
Attendance certificate distribution
Set up class location with all its necessary setup, and course tools.
Assess feedback and sending feedback reports.
Recruitment Part:
Search for CV's as per required job specification.
Update and maintain the CV database.
Attend to walk-in applicants and collect CV's.
Load Job Adverts to website and all subscribed recruitment's portals
Receive all the job applications, sort and classify based on each profession and store in database for retrieval as and when required.
Short listing candidate CV’s against job descriptions, updating vacancy and applicant status within the recruitment procedure, organizing interviews and producing interview schedules, liaising with applicants to provide updates on their progress etc.
Arrange for test & interview appointments with the short listed candidates for testing and administer test.
Administrative and other duties:
Develop and oversee ongoing development and maintenance of company procedures and policies
Handle all reservation matters.
Transmittal, Purchase order, Payment Vouchers & Invoices payment Records.
Handle all filling systems.
Organizing employee files to provide information for personnel actions Process and any needed documentation
Preparing employees database and reporting
Complete all the appointment procedures, that include preparing the attendance cards, job offer, Contract, follow up needed documents for hiring, including the inductions for new staff.
Follow up the reports produced by the time attendance system based on the direct supervisor instructions in this regard.
Handel any administration related work.
Draft Correspondences both in English and Arabic
Translate website content from English into Arabic and vice versa
Maintains documentations related to GMIP (Group Medical Insurance) amendments, additions, and/or deletions of beneficiaries and their dependents.
Resolves complaints on admission cases as raised by staff and beneficiaries and recommends remedial actions on abuse cases. Acts as a focal point on such issues with the contracted insurance company, as assigned by the supervisor
Provides information required for the preparation of tendering for new medical insurance contracts ensuring that relevant medical requirements of staff and beneficiaries are reflected
Oversee all aspects of general office coordination.

Complete all the appointment procedures, that include preparing the attendance cards, job offer, Contract, follow up needed documents for hiring, including the inductions for new staff.
Follow up the reports produced by the time attendance system based on the direct supervisor instructions in this regard
