- Develop a positive rapport with internal and external customers to manage the executive’s schedule.
- Responsible for assignments which may be confidential and time- sensitive requiring professionalism and a high degree of judgment and initiative.
- Act as liaison between the MD and Executive Management Team.
- Take initiative and find new ways to successfully complete a variety of significant, time-sensitive projects.
- Coordinate and schedule meetings and activities for MD.
- Handle all logistics and administrative issues associated with support of the MD, including Board meetings, event planning, travel preparation and follow up, MD briefings, and office management.
- Work closely with the executive management team to facilitate communication and ensure timely and efficient information flow to and from the Office of the MD.
- Manage day-to-day calendar and activities for the MD and assist in business planning and time management.
- Prepare presentation materials for high level meetings, conferences, and other high-level events.
- Draft meeting minutes and monitor various reports submitted to the MD by Senior Management.
- Manage and direct work for professional administrative team.
- Draft, type and dispatch all the MD’s correspondence.
- Maintain a comprehensive filling system.
- Work closely with Hiring Managers to develop position profile and to understand overall needs and requirements. (Description, salary, timing, expectations, etc.)
- Create a comprehensive job description based on hiring manager specifications to be used to present to candidates and to post to job boards and internal gateways.
- Work with Sourcing Analyst to develop appropriate sourcing strategies for each role.
- With use of Enterprise applicant tracking technology and innovative recruiting tools, review and select candidates to move forward from the slate presented by sourcing efforts, determine and instruct next course of action.
- Develop and Manage strong consultative relationships with hiring managers and candidates.
- Solicit and document hiring manager and candidate feedback throughout the interview process.
- Disposition all candidates personally contacted in recruiting cycle (phone screen or higher manager interview).
- Plan and coordinate the provision of friendly, efficient services to guests
- Plan and coordinate all promotional activities targeting clients
- Trace relevant statistics about clientele
- Coordinate and supervise all activities for guests
- Greet Guests upon arrival
- Assist all departments in being receptive to the needs of guests
