Work Description:
Sales Coordinator:
Create data base for all submitted quotation and proposal.
Prepare quotations as directed by sales and presales.
Keep record of costing of all submitted quotations and proposal.
Handles preparation of Prequalification and other submittal as directed by Sales.
Project Coordinator:
Keep record of all project documentation, such as handover document, project progress reports, test report, completion reports etc.
Help and Assist Project Manager and Operation Manager for monitoring daily work progress of the technician.
Responsible for all Project material submittal and document handover of the projects.
Maintenance Coordinator:
Directs and co-ordinates with technicians for repairs and maintenance on equipment or systems as per Maintenance Service contract on hand.
Planning & Scheduling Technicians daily schedules.
Allocation of manpower, resources and liaison with tenant/client as required.
Search & Contact Suppliers for such enquiries and Manages in Purchasing required Materials to rectify any issues.
Monitors contract services to ensure quality standards are met and contract compliance. Schedule and delegate task to all Maintenance technician.
Maintains, recommends and implement process improvement for the Annual Preventative Maintenance Program.
Ensure that all services are invoiced for every completion of serviced.
Communicate directly with the clients request and settled for any complains.
Maintain customer relations through timely responses to Customer inquiries via Outlook, Calls, and by Fax.
Procurement:
• Reviews planned orders, creates requisitions for purchased items and seek approval to proceed.
• Respond to customer and supplier inquiries about order status, changes, or cancellations.
• Tracks orders acknowledgement, prepares and communicates shortage and backlog reports, and provides visibilities of potential interruption to internal customers.
• Ensures orders adhere to supplier agreements and contracts.
• Lead finance and logistic staff in resolving reception and invoice discrepancies.
• Provides advice and guidance to the clients in the shipping methods and services, risks, and costs for domestic and international shipments, analyses logistical requirements and decides on appropriate methods and services to use, based on standard practice, and plans, executes and monitors shipments.
Sales Coordinator:
• Process purchase orders/contracts using the Oracle Order Management System. Such As: Quoting, Order-Entry, Oracle order maintenance (SAGE), pre-post order manufacturing and logistic coordination.
• Maintain customer relations through timely responses to Customer inquiries via Outlook, Calls, and by Fax.
• Evaluate Customers complains and takes appropriate action to ensure that problems are corrected and do not recur.
• Manages all phone calls, either through queue, direct contact or live chat, ensuring the highest quality Customer experience, and handle quires.
Order-Entry:
• Work directly with customers, first point of contact for inquiries such as pricing, product information, shipment, distributor search information and order.
• Ensure delivery of excellent customer service through timely and accurate processing of orders, communication and coordination with other departments to resolve inquiries.
• Build and maintain customer loyalty by providing prompt friendly service
• Support the sales team in a variety of administrative tasks as required.
