Reporting to the C.E.O. my portfolio requires me to provide guidance and direction to the Operations (Production) department, Key Accounts Team, Business Development Team, Purchase department and coordinate with and assist the Finance Head.
Broad area of work:
1. HR Activities
• Recruitment for all vacant positions in the organization.
• Job Descriptions and Job Specifications: Designing Job Descriptions across all levels in the organization.
• Induction and Orientation
• Annual Performance Appraisal: Design and Develop formats for Annual performance Appraisal for all employees.
• Company Policies
• Development of Standard operating procedures.
• Creating work flow charts
• In house Training
2. Administrative Activities
• Administrative Support: Provision of adequate Human Resource, Office utilities, Logistics arrangements, Facilities maintenance, Tackling all disciplinary issues with suitable action, Conduct of Timely Meetings, Vendor Management, issuing of necessary Orders, Circulars & Notices, Monitoring the work of outsourced staff. - Liaison and Coordination: Liaison with Govt. Departments and Ministry for the compilation, circulation and dissemination of required information.
• Maintain Attendance & Leave Records & prepare monthly salary statements.
3. Key Account Management
• Manage the key accounts team
• Visit to clients with team members
• Follow up on inquiries received by them and support them in responding to clients.
• Track daily reports.
• Make assurance calls to clients to follow up on quality of products, service & timely deliveries.
4. Business Development
• Support the Business Development Manager by constant coordination and follow up on lead generation and follow up to convert leads to orders.

5. Operations
• Coordinate with operations head and track production of samples and orders.
• Assist in dealing with job workers and purchase of raw materials.
• Track daily reports and production planning
• Logistics support and advise.
6. Purchase
• Coordinate with Purchase team on inquiry follow up and response
• Coordinate and arrange samples for sales team
• Assist in finding vendors for unique products
• Final negotiation with vendors before placing order
• Approving purchase orders
• Track daily reporting
7. Finance
• Coordinate with and assist finance head.
• Tracking Client Purchase orders
• Tracking inward receivables with Sales team against Client Purchase orders & outstanding reports generated by finance department.
• Authorising vendor payments as and when required in conjunction with C.E.O.
Coordinating and managing the receipt of stock, quality checks and placing in locations.
Managing picking of stock for local distribution and delivery.
Managing warehouse staff, stock controllers & delivery teams.
Ensuring optimum utilization of warehouse space.
Coordinating the Cyclical and monthly and annual Warehouse stock take.
Recruitment of staff for warehouse & conducting staff appraisals in conjunction with HR.
Training staff to learn FIFO and locating of stock and ensuring correct picking.
Coordinating maintenance of premises and equipment.
In my current position I manage the receiving of products to locating, picking, packing, loadiung andtransport to the required port.
Managed a team of stock controllers, the process of receiving imported consignments, storage, picking and distribution og goods to the Company owned retail outlets and Customer residences.
Supervised the process from receiving imported consignments to distribution to Mobile sales teams and delivery to large supermarkets and retail outlets.
Managed the distribution process from order booking to final delivery to customers.
Managed the retail music store, ordered stock, carried out retail sales, Created In Store & Window display and Banking
Coordinated between UTS, Client (ARAMCO) & Client's Supervisor (Arabian Bechtel). Submitted samples for approval, Weekly work progress reports, handled Site Safety along with regular office duties.
