Answer inquiries and obtain information for public, customers, visitors, and other interested parties. Provide information regarding activities conducted at establishment; location of departments, offices, and employees within organization. Responsible to coordinate meetings, conference and etc. Responsible to received invoices to put it the system and make sure to forwarded to the concern department. Monitoring the IN and OUT of the staff and preparing timesheet as well. Keep all incoming and outgoing documents for a future reference.
o Communicates with all Head Department/ GM/Projects Managers related to the business and concerns.
o Responsible for supporting high-level executives and management or entire departments. Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and request.
o Maintain and manage electronic and hard copy documents as required.
o Schedules and coordinates appointments, meetings and events, including registration and travel arrangements as necessary.
o Build up, improve and update business presentation /company profile for the group of companies.
o Preparing and issuing Management Circular.
o Monitoring group emails and make sure that all emails are well attended.
o Received tender inquiry and circulate to all concerns company and estimation team.
o Preparing a draft proposal in cooperation with estimation team and send it to the Group Vice President for approval.
o Follow up the report from all departments and make sure that it will be submitted on time.
o Monitoring the process of company ISO certification.
o In charge for the registration /prequalification for ADNOC Group companies, government Sector and private sector.
o Monitoring and updating the Tender list of the companies.
o Close monitoring of tender submission whether it is Technical or Commercial Submission.
o Copying, Scanning and storing documents.
o Typing Bill of quantity and contracts.
o Manage the flow of documentation within organization.
