• Coordinate work station allocation for new staff, intern and guests from other office branches that includes arranging standard stationery, name plate tag, telephone and others.
• Distribute company issued ID card with the corresponding acknowledgement form.
• Update and prepare monthly expenditure report for the office.
• Log and maintain a systematic record of all employees issued equipment.
• Provide office orientation for new employees.
• Desk clearance for the employee who had left the company.
• Primary contact for the overall portal notification i.e. update of employee details, incident report regarding any facilities issue and others.
• Supervise cleanliness and orderliness of the entire office.
• Overall incharge of the office when Facilities & Administration Manager is on leave.
• Supervise receptionist and train them as required.
• Manages and prepares VIP Client Meetings.
• Book air tickets through company approved travel agents, this applies to both business related travel and annual leave travel for staff and dependants, mobilization and demobilization, as well as any other approved travel in accordance with company policies and procedures.
• Arranging accommodation to our guest houses and assuring that everything is ready before the arrival of the new employee.
• Arrange hotel accommodation and applicable airport transfers for pick up and drop off.
• Provide fare quotation for employees who requested for annual cash entitlement.
• Arrange and coordinate meet and greet service for new staff.
• Coordinate staff visits with other branches as required.
• Arrange road travel as required. This includes taxis and car hire for company’s use.
• Scheduling appointments, meetings and travel arrangements.
• Confirming flights.
• Negotiate corporate rates and credit facilities with hotel and travel agents.
• Monthly follow-up meeting with hotels, travel agencies, transport and rent a car agent to maintain smooth relationship.
• Maintain files on all hotels used with updated rates, services provided, contact details etc.
• Obtain/accept staff feedback with respect to ground travel service and hotel accommodation and follow up as required.
• Review and checked hotel and ticket invoices prior to processing payments.
• Research promotions and incentives for both travel and accommodation.
• Maintain records for all company car leases and renew/extend as required.
• Research costs of rental cars with respect to size and provider and provide recommendation to the Facilities & Administration Manager.
• Coordinate CEO’s driver and provide instruction as required.
• Coordinate and arranges company events such as lunch, dinner or annual party.
• Perform general office support including filing of policies issued and other documents.
