• Operates a multiline telephone system to answer incoming telephone calls and directs callers to appropriate personnel.
• Ensure all front desk inquiries are efficiently directed to the relevant departments.
• Ensure that Visitor Management process is strictly adhered.
• Making travel and accommodation arrangements for Senior Management and all employees.
• Undertaking administrative tasks when required.
• Assisting in managing the Managing Director’s diary and interacting with 3rd parties on his behalf.
• Maintain familiarity and compliance with local and corporate purchasing policies and procedures.
• Evaluate if new vendors need to be set up, arranges necessary documents and work with finance to create new vendor account in the system when required.
• Validate all material/service/travel requisitions for completeness and acceptable need by date.
• Draft, issue and communicate with vendors for quotation.
• Obtain vendor confirmation, maintain dates in the system and make sure that time table is followed.
