Reports directly to the Operation & Production Manager.
Prepare Materials Request and Purchase Request needed for
Factory Operation.
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics for presentation and other purposes.
Be of assistance in clerical aspect with the production department heads.
Assist Production workers regarding Admin and HR concerns.
Organizes work by reading and routing correspondence; collecting information; initiating telecommunications.
Direct the general public/visitor to the appropriate staff member.
Maintain the general filing system and file all correspondence and operation manuals.
Assist in the planning and preparation of meetings, conferences and conference.
Received & relay telephone calls to concerned individuals.
• Follow up monthly reports of the Project Officers assigned in the provinces to maintain prompt submission;
• Validate and review data submitted from the provinces to assure accuracy and consistency in preparation for the quarterly external table validation of the funder (the Global Fund);
• Regularly update the project database on training and partners’ counterpart report;
• Undergo Facility monitoring and On-site data validation in top high-risk provinces in malaria cases.
Other task: (note: other task mentioned below covered my 5-year stay in Pilipinas Shell Foundation, Inc.)
• Designs and layouts Information and Education Campaign Materials for the project (such as posters, leaflets, tarpaulins, shirts, bags and others);
• Maintain upkeep and inventory of project give-aways for partners.
• Review project reports submitted by the Project Officers in the field and maintain filing for such documents.
• Assist organizing project events and trainings.
• Administered scanning of documents for filing purposes.
• Validate reports of the Project Officers to ensure accuracy in annual external validation.
• Coordinates with Program Manager and Project Officer for their schedule documentation and file management.
• Supervises Encoders in processing of survey results, documentation of activities and production of modules
• Supervises filing and upkeep of records of pertaining to project operation and implementation.
• Maintains internal control systems and procedures for documents incoming and outgoing.
• Explain features, advantages and disadvantages of various policies to promote sale of insurance plans.
• Ensure that policy requirements are fulfilled, including any necessary medical examinations and the completion of appropriate forms.
• Perform administrative tasks, such as maintaining and encoding records and handling policy renewals.
