I accepted a position at ENG as an Operations Manager as I wanted to explore a different industry which encompassed managing teams and projects in different countries such as Pakistan, Oman, Kuwait. I commenced employment in August 2017 and initially started managing 3 departments (GRO, Design and Administration). Within a month, I started managing Purchasing where I worked with the Purchasing Supervisor on new process flows and supplier maintenance. Within six weeks, I was requested to add another two departments to my profile, which was the Digital Signage and Outdoor Maintenance Departments. Currently my team consists of 20 staff members.
Restructure of departments, updating of job descriptions and restructuring of staff KPI’s
Restructure of process work flows and operational activities.
Ensure all campaigns are managed in coordination with deadlines ensuring all relevant government approvals are obtained regarding artwork and permits
Understanding how the departments are intertwined and how workflows affect numerous deadlines
Restructuring the purchasing supplier accounts and implementing purchasing / procurement processes
Managing and coordinating international projects with various departments and our international offices
Ensure government relations is tasked with work, which is routine as well as strategic, to build the company's relation in key government dept.
Oversee key data in daily media operations and ensure that correct documentation is created and implemented.
Ensure operations of the company are well understood and know what needs to be done, to ensure, work is completed without CEO interference.
Ensure business analytics, is done on a daily basis, so to understand; inform CEO, and take next steps, from it, to ensure profitability and avoid issues.
Ensure stakeholders are provided with up to date information across the portfolios and JV’s ENG has.
Shareholder/Board Reporting Documents for meetings as and when required.
Managing timelines via Gant charts for implementation.
Scope new projects (media or otherwise) with the CEO along with creating business feasibilities on projects with investments, cash-flow and P&L considerations.
Handling various internal and external projects for the CEO and liaison with third parties.
Representing the company at events.
Perform other tasks, as and when directed.
Analyzing vehicle, machine, generator and truck media costs which include fuel, Salik, mileage etc.
Assist Managing Director prepare proposals
Preparation of project timelines
Liaise with consultants and client to ensure projects commence as per the signed contract
Assist consultants with the on-boarding process
Communicate with project consultants on a regular basis ensuring project timelines are adhered to and communicate various deviations (if any) to Managing Director
Prepare client invoicing as per agreed project timelines / milestones met
Approve and submit project consultants’ invoices for payment by accounts department
Prepare monthly project progress reports to submit to Managing Director and clients
Prepare and co-ordinate various project non-disclosure agreements between client and project consultants
Train a team of 17 Personal Trainers on EZ Facility - a new system the company wanted implemented to assist with timesheet, client information and payroll management
Reconcile client accounts
Business Management - met with various companies and introducing Advantage Sports to them in order to win contracts to manage their facilities. We partnered with various companies whose services aligned with health and fitness
Attended various social gatherings and introducing the company to the general public
Manage and meet with all Trainers regularly to discuss their goals, objectives and manage target hours
Manage all leads and share them with Trainers so that they can sign them on as clients
Assist the Partner with monthly payroll
Ensure I have a monthly meeting with all the Mobile Personal Trainers, Team Leaders and respective Managers
Attend weekly meetings with the Partner and Managing Director
Ensuring Trainers are evaluated every quarter and ensuring their goals and targets are met as required
Compiling company templates and procedures
Writing articles for the company, online partners and magazines
Launched a monthly newsletter which was sent to our client base updating them on various promotions, new partners and trainers
Ensured there were monthly personal training and client incentives to boost sales and ensure trainers were kept motivated
Project Manage all partners and events - ensuring project cost is kept within budget as well as project deadlines are met.
Project Manage all venue based operations - meeting with the client twice a week and ensuring all staff are following company policy, ensuring our Open Days are arranged and kept within the budget.
Assisting Marketing Manager where necessary regarding Open Days and launching of new partners and events
Working in the gym assisting members with training programs, and ensuring they know how to perform various exercises using correct technique
Weekly weigh in and body measurement analysis (including taking clients’ blood pressure reading when required)
Educating clients on nutrition and portion control
Assisting the gym team with Fitness Challenges (fitness tests, motivating clients to join our monthly fitness challenges and assisting them with their training)
Assisting in all training with regards to adolescents (teaching youngsters about living a healthy lifestyle and teaching them various exercises for their age group
Ensuring all machines are in working order and logging any defective machines with the Maintenance Supervisor
Instructing Bodyshape classes for the Beautyfull ladies (Beautyfull ladies are members who are obese and struggle with high blood pressure, diabetes and other health problems).
Assisting cover for other instructors who could not instruct a class or their hour/s in the gym.
Assisting Operations Department with processing of member applications and general office duties
I also train clients (adults and youth) privately when not working at Aspire Active either at their compound’s gym or in the comfort of their own home.
Meet clients before any training to discuss their goals and motivate them to lead a healthier lifestyle without making them feel uncomfortable.
Conduct fitness and body assessments with clients
Initiating, promoting and managing recreational activities (boot camps, ab classes, stretching and flexibility classes)
Conducting personal appraisals and prescribing suitable fitness programs
Working closely with the Occupational Health and Safety Department and responding to current initiatives and company objectives
Overseeing equipment maintenance, safety auditing and facility housekeeping
Designed and implemented unique and exciting fitness programs aimed at improving stamina, increasing muscle mass and reducing body mass index.
Designed and implemented personalized exercise and diet programs targeting specific conditions and concerns including obesity, arthritis and high cholesterol
Recruit and retain clients
Council members about fitness, exercise, health and injury management
Provide weight-lifting, treadmill and other fitness apparatus instruction
Ensure the safety of all members and clients
Conduct one-on-one or group training sessions with ladies from all age groups
Conduct one-on-one or group training sessions with teenagers
Prepare boot camp programs and arrange equipment required for the training session
Trainer in a weekly boot camp class
Invoicing clients and ensuring all invoices are paid by the first training session of the month
Co-ordinate various deliverables between website developers and in-house staff with regards to website content, finances and deliverable due dates.
Ensure all deliverables are met within budget and discussing importation of products, exchange rates and importation costs with senior management and company shareholders
Co-ordinate importation of various products with logistics department as well as our suppliers in the US and China
Ensure all debtors and creditors are settled by month end
Ensuring all website content was uploaded by the website developers correctly, including product content and pricing.
Ensuring all orders placed on the website are packed and received by clients
Write monthly articles on various fitness related subjects
Preparation of eating plans to meet various clients’ goals
Preparation of training programs to meet the goals of various clients
Managed relationships with various international renowned fitness athletes such as: Dr. Layne Norton & Dave Scott
Research on up-to-date on various training methodologies and training sciences
One-on-one and group training with various clients, either at their homes or at a sports field with various equipment ranging from a bosu ball to kettle bells.
Providing leadership and managing a document control team of 14 ensuring all tasks are processed and completed per schedule

Forecasting
Assist the Client in developing and maintaining document control procedures.

Prepare procurement schedule, coordinate purchasing, and monitor critical path and long lead items.
Assist in preparing new project proposals and contracting new business

Develop, manage and monitor project specific budgets, cash flow projections and forecasts
Evaluate and adjust as necessary data regarding cost status, manpower requirements, commitment data and variance reports for EPCM budget
Develop various project monthly summary reports
Ensure relevant incurred project costs are correctly coded, entered into the system and reconciled with other programs
Develop systems to calculate the effect of foreign exchange variation
Update actual expenditures and forecast remaining cost for budget
Ensure project commitments, expenditure and payments for managed packages are accurately recorded into the system and paid via another system
Interface and maintain liaison with consultant on all control related activities
Prepare monthly office safety hours and send to head office
Prepare a Flash Report showing commitment vs. expenditure graphs and send to head office in London
Prepare a project monthly report
Provide quarterly cash flow projections and actual values
Reconciliations between different systems
Approving and signing off of various orders

Following up on all invoices not paid and requesting Client for confirmation of payment date
Assistant to Project Manager
Ensure that project team members timesheets are completed on a weekly basis and approved by the Cluster Managers
General office duties such as preparing faxes, memorandums, letters, filing etc
Assist in compiling Project Monthly Report and registering it on ProjectWise
Formatting of all Engineering documentation as per project standard
Taking of minutes of meetings and typing them out
Logging and distribution of all project correspondence as well as filing it into ProjectWise
Ordering stationery for the project
Project leave register to be updated on MS Project and distributed to Cluster Managers and Project Manager
Type all medical and KBC induction letters, give to Project Manager for approval and fax signed letter to site
Enter letters addressed to contractors on “acknowledgement register”
Update Decision Log on a monthly basis and give to Project Manager for approval
Update Project Directory
Update project organization chart as well as project flow charts accordingly and give to Project Manager for approval
Ensure project teams’ job descriptions are up to date, signed and filed on ProjectWise
Assistant to Construction Manager and Safety Officer
Logging of all drawings and documentation and issuing to all contractors on site
Compiling of all safety statistics, graphs
Ordering stationery for the project
Assistant to Project Managers
General office duties such as preparing faxes, memorandums, letters, filing etc
Ensuring the electronic filing system is up to date with all recent documentation and have been registered
Ordering of project stationery
Taking minutes of meetings and typing them out
Distribution of all important project documentation
