• Act as main point of contact of the dean to the students and other university stakeholders
• Prepare memos, circulars & emails and other correspondence (internal or external)
• Manage and maintain deans' diary and calendar
• Organizing meeting, preparation of needed files, recording/taking of minutes
• Open, sort, and distribute incoming correspondence including internal mail, faxes and email.
• Document & electronic file management
• Gather data, compile information and prepare reports needed by the dean
• Screen, attend and delegate phone calls and personal inquiry to concerned offices
• Monitor the stay (exit formalities) of international sponsored students (graduated,
withdrawn or dismissed)
• Guide students on clearance, re-entry visa applications & final exit procedures.
• Prepare certificates requested by students for applications of visa, class excuses, etc.
• Call and send e-mails to students when needed.
• Request purchase order on ERP system for summer and final exit tickets of students
• Monitor and request stationery, ink & toner, and other office supplies on ERP system
• Maintain office and request services (maintenance, technician, electrician) whenever needed
• Perform other job-related duties as assigned by the dean.
• Lay-out and design ID cards for students’ international trips
• Serve as photographer whenever there is a department event.
