• Dealing with the clients and suppliers for all the shipment status updates and details such as ETA, POD, HS Code, DDP, Consignee, Certificate of Origin, Airway Bill, Aircraft Pallet, Bill of Lading, Packing Lists, Commercial Invoice, Customs Clearance, Customs Duty, Demurrage
• To answer the calls and emails to do directive about shifting cargo and materials in exhibition.
• Arranging the transport of shipments by air, sea and land basis
• Clearing the shipment from the customs then directly installation to the exhibition booth
• Accountable to issue tax/commercial invoice to the clients/suppliers.
• Communication to the shipping lines, airlines, forwarder or transporter for the shipment import and exports.
• Ensuring all necessary equipment is available for incoming events/exhibition
• Seeking and securing sponsorship especially to all regular clients
• Arranging insurance cover and ensuring legal, health and safety requirements
• Ensuring and checking the return items from the exhibition site and to arrange the re-export items going back to the origin.
In-charge in making tenancy contract.
Using office equipment such as photocopiers, fax machines, switchboards and online record management
handling confidential information, including rental applications and copies of personal identification documents
receiving and processing incoming and outgoing mail
liaising with Property Managers and Real Estate Salespeople regarding their office
organizing travel arrangements, conferences, meetings and social functions
auditing and purchasing office supplies
answering call inquiries of the customers
Coordination with Sales Department with regards to the shipping documents such as: invoice,
packing lists, bill of lading/ air way bill, COO, shipment manifest, proof of delivery (POD).
In-charge for sending shipment’s pre-alert, report any shipment’s irregularities such as
damages, shortage, or for any delays in delivering the cargo.
Liaise with different shipping lines, freight forwarders, and airline companies with regards to
the shipments status.
Constant follow-up concerning shipment’s arrival, reschedule of shipments, answering
general inquiries via email and/or telephone call.
Responsible for receiving payments for the shipped goods to be handover to accounts.
Gather the statement of accounts for all the manifest shipments.
Manages the telephone calls and attends to all guests in the reception area.
Periodically files all the pertinent documents such as shipping documents, statement of
account, and other important legal documents.
