1. Maintenance & upkeep of Employee 201 files - SAP System
2. Collect, review, evaluate & initiate interview of applicants & submit recommendation to Head Office
3. Prepare and arrange employment documents (i.e. employment offer, contracts, visa, & etc.) for newly hired employees bound to work in the Branch for approval of the Head Office.
4. Monitor attendance/timekeeping and report deviations to various departments including generation of Branch timesheet for payroll processing at the Head Office.
5. Monitor, review, coordinate & submit employees’ travel & work related employment documents to various government agencies (including requirements for update) as well as its corresponding renewals, such as: Visas, Residence Permits, C.E.C., Health Cards, Licenses, & etc.
6. Sourcing, comparison, review and finalization of service providers such as: medical insurance, catering, vehicle insurance, security service, courier service, garbage collection, & other Admin related services (including validation of their invoices & request for payment).
7. Prepare & report employees’ vacation plan & coordinate Leave/Vacation requests as well as Employee Return from leave to Head Office.
8. Monitor housekeeping & maintenance of housing accommodation of employees.
9. Coordinate with travel agents, local hotels, & car rental companies on request for airline bookings, hotel reservations, car rental & the like.
10. Monitor & ensure that enough inventories of office supplies, stationery, pantry & other office consumable items are available; and regulate issuance to departments.
11. Ensure that all company vehicles are in good working condition & maintain smooth scheduling plan/itinerary of company drivers in support of various operational needs.
12. Monitor all Etisalat and DEWA payments and services.
13. Assisting IT Head Office to facilitate troubleshooting that required in the Branch and keeping information, database, and backups of the system files.
14. Perform other task asinstructed by immediate superior.
