• Building & Maintaining relationship with suppliers and vendors.
• Negotiating with suppliers in getting the best value for products and services at defined specification from both local and abroad.
• Analyzing and comparing quotations to best compliment purchasing that could drive costs down.
• Preparing and processing PO approval and record keeping.
• Placing order in accordance to negotiated and agreed terms given the managers’ approval that supplier can meet.
• Reviewing contract and other terms with suppliers and ensuring adherence to agreed goods quality and delivery time.
• Examining shipping documents correctness and distributing for clearance and release of consignment.
• Evaluating cost and selling prices by reviewing shipping & handling charges and other changes to make necessary price recommendation.
• Communicating any issue without delay to procurement related personnel and finding possible ways to resolve it.
• Exploring new products and suppliers that can provide better products & services at cost effective price in existing industry.
• Coordinating purchasing activities to manager and concerned departments to drive better decisions.
• Providing complete administrative support by planning and directing administrative policies in line with the upper management feedback for smooth running of day to day administrative function.
• Responding to various department and employees queries, report formatting, assisting in developing of official documents, letter typing and etc.
• Preparing general verbal and written office correspondence on behalf of the Management including replying enquiries with quotations and emailing RFQ.
• Maintaining and coordinating distribution of documents to parties agreed by management and keeping computerized and physical filing of documents as per company standard.
• Attending calls, handling enquiries and directing to appropriate channel. Handling all incoming emails.
• Performing office duties in maintaining adequate administrative and office supplies and stationeries.
• Organizing & coordinating internal and external events and meetings.
