1- Handling & Maintaining of varouis documents as per ISO Standard Requirments such as Work Instructions, Standard Operating procedures, Guidelines, Forms, Operating Manuals, etc.
2- Providing support to Operations Team members regarding uploading of Operations Documents to ADMS (Borouge Approved Document Management System).
3- Working directly with the Department Managers, Process, Plant Engineers and Operation Shift Controllers to respond quickly to various requests regarding documentation and administration works.
4- Supporting achievement of availability, at the point of need, of accurate up to date information and documentation.
5- Managing the archival activities for control documents and validation of documentation files.
6- Maintaining List of Quality Records.
7- Maintaining Department P&ID’s (Piping & Instrument Diagrams), PFD’s (Piping Flow Diagrams) and UFD’s (Utilities Flow Diagrams) as per the latest revision received from the Document Control Centre.
8- Maintaining the Department filing system, including confidential files. Decides on archiving, disposal and storage matters.
9- Assisting the Department personnel, providing guidance as to both the data and the document management processes.
10- Providing familiarization with the software utilized and means of running searches to find and retrieve documents from Borouge ADMS.
11- Ensures all aspects of documentation are effectively controlled.
12- Archives of master documentation in a hard copy or electronic format as required by the Departments.
13- Ensures that the approved version of the document is passed over in both photocopy and electronic format.
14- Checks the document formatting against the company document template.
15- Ensures that relevant versions of applicable documents are available at the system.
16- Issues a standard e-mail informing the department personnel of the new or updated documents in ADMS.
17- Issues additional copies of documents as required by the Department staff.
18- Provides technical assistance to the Process and Production Engineers in preparation of graphic presentations and collecting data for reports.
19- Co-ordinates matters related to the Department staff and supervises usage of scanners, Overhead projectors, fax machines and printers in the Department.
20- Performs operator functions on copy machines for reproduction of documentation.
21- Maintaining notice boards, Fax machine, and other related duties, i.e binding, laminating, scanning and office stationary supply.
22- Understands the company Health, Safety and Environment Policy, and how it relates to my job.
23- Performs other similar or related duties, as assigned.
1. Assisting Tender & Contracts engineers in preparing of Tender Documents. (Technical & Commercial Offers)
2. Sending an inivitation letters to internal & external vendors.
3. Submission of announcments of tender requirements to local news papers.
4. Receiving of Technical & Commercial Offers from vendors.
5. Stamping date of receival on the Vendor Tender Envelopes.
6. Opening the tender documents with the attendance of Tenders & Contracts Committee.
7. Checking the vender offers of the bid bonds availbiltiy.
8. Sending the Technical offers to the concerned factories for evaluation and recommendation.
9. Receiving Technical Evaluation documents from the factories.
10. Archiving and filing of Tender and Contracts Documents.
11. Composes and types routine correspondence and memoranda using word processing software in Arabic & English.
12. Compiles and types statistical reports including tables and text using spreadsheet software.
13. Answers telephone and provides information/assistance.
14. Operate and maintains fax machine, printers and scanners.
