* Provide employment information to applicants and internal departments regarding vacancies, the application process, and general recruitment policy information.
* Utilize online recruitment services to attract and source applicants.
* Prepare quarterly statistical and analytical reports.
* Create and review hiring forms and paperwork for accuracy and completeness that includes offer letters, contracts, joining forms as well as entering required data into the ERP.
* Ensure paperwork reflects employment actions that are in compliance with University policies and procedures.
* Assist in preparing, monitoring and controlling an efficient recruitment plan.
* Support the Talents Planning and Acquisition Manager in the implementation of recruitment objectives and policies.
* Handle the the part-time staff hiring cycle including requests, contracting, correspondences, payments and all related tasks according to the process.
* Receive all the CVs, sort and classify based on each profession and store in database for retrieval as and when required.
* Classify, screen and review employment applications against job descriptions and evaluate candidates' work history, education and training, job skills, compensation expectations and other qualifications of applicants.
* Arrange for interview appointments with the shortlisted candidates including organizing and scheduling interviews, in addition to prepare the interview logistics and venue.
* Verify reference check and degree verification on all potential candidates.
* Coordinate VISA processing for newly hired employees as needed.
* Maintain schedules, diary, arrange meetings, clarifying arrangements, collecting and collating all supporting paperwork and information, making timely travel arrangements for both national and international travel (keeping accurate records).
* Provide administrative support for meetings (with both internal and external stakeholders) as required, to include arranging location, taking minutes, compiling agendas, preparing papers, follow-up action points and ensure supporting papers are distributed in a timely manner.
* Ensure Line Manager is fully briefed for meetings, provide notes, summaries and action checklists as appropriate.
* Liaise and follow up with the Ministry and other government department’s visit and requirements as needed.
* Maintain strong working relationship with other administrative teams within HBMSU to ensure close and effective working arrangements are developed and maintained and cross cover is provided as appropriate.
* Attend events, launches, etc. and act as a representative of HBMSU to undertake duties as required.
* Conducting internet search, background research and presenting findings.
* Welcome and greet visitors in person or telephonically in a professional way; and handling their inquiries suitably to ensure university branding is well positioned through efficient and effective services.
* Direct visitors to the concerned personnel.
* Maintain a neat appearance of the lobby/reception and ensure implementation of the security procedures.
* Assist in open days by providing accurate information in regards to university offerings, admission and payment processes.
* Receive, register and maintain a log book for all incoming and outgoing mail shipments from and to courier companies.
* Receive and log the invoices from companies and send it to Suppliers and Relationship section.
* Handle complaints, suggestions and communicate them to the concerned department.
