Responsibilities:

Inspection & Maintenance:
❖ Conducted daily inspections of facilities including firefighting equipment (flap valves, fire hydrants), reefer inspection
facilities, substations (both modular and standard), yards, and MEP (Mechanical, Electrical, and Plumbing) systems.
❖ Identified potential maintenance issues with firefighting equipment, flap valves, fire hydrants, reefer inspection facilities,
substations, yards, MEP systems, and civil structures.
❖ Ensured adherence to maintenance protocols and safety regulations during all maintenance activities.
Team Management & Communication:
❖ Assigned tasks and prioritized workload for maintenance teams responsible for firefighting equipment, flap valves, fire

Responsibilities:

❖ Prepare preventive maintenance plans and schedules and ensure that they are performed as planned, and regularly inspect
and evaluate the condition of the facilities in order to determine ways of enhancement.
❖ Assist in carrying out project development and improvement of maintenance work by proper implementation of action plans
with their time frame.
❖ Manage third party contractors and follow up on purchase orders and quotations processes.

Project:
❖ Enhancement of current Lighting System:
❖ Identified the quantities and sizes of all lights that need to be replaced in order to make the maximum reduction in energy
consumption.
❖ Compared and determined the best product after studying and reviewing all considerations points such as: lifetime, initial
purchase cost, maintenance cost, luminous flux, lux level needed in each area, kelvin color temperature, color rendering
index (CRI), and mainly wattage consumption per hour.
❖ Compared and selected the best quotation and prepared return on investment study (ROI) for the project and prepared the
scope of work.
Responsibilities:
❖ Trained to do maintenance, repair, and troubleshooting in all systems such as Electrical, HVAC, Plumbing, Light Current,
Equipment, Elevators, Safety and Fire Fighting Systems.
❖ Handle day-to-day cost control and energy control, build engineering budget, handle all kinds of audit reports, follow up on
purchase orders and quotations, and regularly inspect and evaluate the condition of the facilities in order to determine the
type of work required.
❖ Follow up on the daily readings and testing reports, lead and supervise a technical group to perform the day-to-day

❖ Maintain the financial administration of the office including raising purchase orders, reconciling invoices, monitoring
expenditure against budget, follow up outstanding payments, and liaise with the finance team upholding accurate financial

❖ Act as first point of contact within the Facilities office during working hours to ensure phone calls are taken and queries are
dealt with in a time affective manner.
❖ FM Helpdesk management, monitoring and responding to job requests, including liaising proactively and reactively with other
staff and supply chain partners;
❖ Ensure that supplier and contractor vetting, Risk Assessments, Method Statements (RAMS), Permit to Work and Construction
Design Management (CDM) processes are always used and are fit for purpose;
❖ Provide other administrative and operational/coordination support to the Head of Facilities, to other staff within the
Regeneration and Property team and in other departments as and when requested;
❖ Maintain both soft and hard filing systems, ensuring consistency and support management team where required

❖ Attend regular management meetings with suppliers and note follow up actions as required.
Assist the Facilities Manager in all aspects of project implementation as needed.

❖ Supervise and train facility employees and contractors as needed.

Administration
❖ Working to department guidelines and standard procedures:
❖ Operate and maintain an effective filing system for the department.
❖ Record and monitor all costs and expenses for all Facilities budgets (Administration, Cleaning, Security, Engineering and
Building)
❖ Manage and maintain the ‘control of contractor’ registers.
❖ Manage and maintain stationary supplies for the Facilities Department,
❖ Ensure building plans are kept up to date.
❖ Provide administrative support to the facilities engineer, arranging meetings, filing and opening post. Provide administrative
support for departmental meetings, including preparing and circulating agendas, taking minutes and monitoring agreed
actions.
❖ Attend Facilities meetings and record minutes
Support the Facilities Manager in the operation of the Building Management System (BMS)
❖ Work closely with external contractors, including sourcing of quotations and supervision of works in accordance with
legislative requirements
❖ Ensure that works are carried out within agreed timeframes and according to priorities, to maintain daily operational running
of the building.
❖ Provide information to all staff, users and stakeholders regarding works that are being carried out that may affect their
working environment or conditions.
❖ Fulfil other duties as directed by the Facilities Manager, or Operations Director.
