- Prepare all kind of tenders (English & Arabic)
- Prepare technical and financial Proposals
- Attending tender opening sessions / meetings
- Checking the validity of all legal documents required
- Communicate with clients on the tender process
- Reviewing contractual terms and conditions
- Prepare Bid Bonds and Bank Certificates / Solvency, if required
- Review “Invitation to Tender” and create tender summary sheet with due dates and coordinate this process
- Set-up, administer and update tender folders and control related documents
- Ensure clients tender requirements are met
- Compile, print and dispatch response document and CDs
- Ensure tender deadlines are met
- Distribute and maintain the Clarification Registers
- Support other members of the tendering team as required
- Ensure that all relevant data and information compiled during the tender development phase is considered and made available
- Maintain accurate records and files (manual and electronics) of all the tender data (i.e. correspondences, quotations, internal input, etc.)
- Develop, review and monitor compliance of the tender and contract terms and conditions
- Handle the documentation of the tenders and ensure accurate / timely submissions
- Manage the proposal process for multiple proposals to stay on schedule and present them to the management for review and approval prior to final publishing.
- Ensures all relevant documentation for bid proposals is complete and accurate.
- Extra tasks as per Line Manager Request in case of company need.
- Coordinates the preparation and submission of Request for Proposals (RFPs) and other tender documents that are responsive to client requirements and in compliance with company objectives are completed in a timely manner.
- Coordination of tender reviews and deadlines and adjust them to the frameworks given by the Clients
- Archiving all documents and correspondences related to tenders using Synology Software.
