Assist in various archiving and documentation services including receiving, indexing, documenting, classifying, organizing, storing, maintaining and preserving president’s correspondence; and accurately disseminating documents, resolutions, meeting minutes and memos to the appropriate internal and external stakeholders;
Assist in various office support services including scanning, photocopying and printing correspondence; faxing and Emailing documents; making and answering phone calls to take or deliver messages; sorting, filing, tracking deadlines of documents, meetings, invitation letters and invitation cards; contact external stakeholders to make inquiries, make attendance confirmations or give instructions; data collection by an in-depth search for information on the internet;
Work on the documentation system “Microsoft SharePoint” to upload and update documents and files, insert detailed metadata, track document versioning and status, linking and appending documents, and make detailed search to retrieve records and data in response to complex information requests;
Assist in communicating and coordinating president’s requests with faculties and departments, monitor follow-up activities and prepare reports as assigned;
Keep, maintain and regularly update a set of work-related lists, document libraries, records and contacts;
Assist in various means in transforming BAU paper archives onto the archiving system “Microsoft SharePoint”;
Ensure that the mail of Debbieh, Tripoli and Bekaa branches is properly received and distributed;
Assist in drafting, typing, proofreading and editing internal and external correspondence for adherence for format, grammar, punctuation and style;
Assist in travel arrangements requirements and hotel reservations when needed;
Coordinate with and assist peers and colleagues in other units to ensure a smooth and an accurate work;
Ensure office equipment and supplies are preserved, properly maintained and serviced;
