1.Lead and manage the Operations & customer service Team
2.Develop vendors for Transport, warehousing, Sea freight, Air freight, custom clearance, packing, cross stuffing, trailers, and personal effects
3. Watch over the daily activities related to job allotment, job handling and problem solving of customer queries & complaints with the team
4.Vendor & client registration
5.Develop clear processes & polices for systematic functioning of operation department.
6.Ensure successful execution & compliance of all operational functions within the required deadlines
7.Implement internal vigilance to avoid any penalties and fines arising due to human error or forgetfulness of any team member
8.Effect necessary communication and motivation to staff.
9.Training to colleagues in freight forwarding, warehousing, break bulk, ERP systems etc.
10.Assisting accounts department for vendor management. & recovery of outstanding amount.
11.Negotiate with suppliers & customers to improve supply chain efficiency or sustainability.
12.Ensure proper compliance and adherence to Export /Import Custom Regulations
13.Recommend optimal transportation modes, routing, equipment, or frequency to the team.
14.Implement specific customer requirements, such as internal reporting or customized transportation metrics.
15.Ensure accurate invoicing to the client
16.Generate invoice/ debit note & credit notes through ERP system.
17.Take ownership of issues affecting the Operations team and suggest solutions to resolve the issues
18.Provide operational guidance and smart solutions to Sales team, by frequently participating in Sales meetings
19.Joint meeting with sales to their client on need basis.
20.Visit on site for loading, unloading, lashing, inspection etc.
21.Liaison with shipping lines and airlines, transporters, international agents, 3pl service providers for acquiring, negotiating and filing rates and booking cargo space
22.Prepare quotations, invoices and delivery orders
23.Collection of Delivery order/ Bill of Lading
24.Preparation of necessary documentation requirements for the shipment and compliance with JAFZA laws and regulations
25.Arrange for Cargo Insurance
26.Prepare shipping invoice, packing list, JAFZA documentation etc. on behalf of client.
27.Prepare Profit & loss excel sheet for the shipment completed
28.Liaison with the customs, municipality authorities
29.Arrange for container release from the shipping lines
30.Negotiating and agreeing on transport contracts including costs and working arrangements.
31.Mobilising of trailers, overseeing loading/unloading, lashing of trailers at site for export & import land transportation.
32. Visit Customs and other regulatory bodies for resolution of any bottlenecks, penalties or procedures
33. Coordinating with the drivers, border brokers and receivers.
34. Effectively resolving any transport issues arising from customers, drivers or third parties to a satisfactory outcome.
35. Oversee warehousing activities namely receiving, unloading, loading, unpacking, packing/ repacking, lashing, storing etc.
36. Supervision and coordination of warehouse and distribution activities
37. Keep stock records up to date and make sure inventories are accurate
38. Receiving & processing orders and planning the dispatching of products
39. Handling and reporting of the damaged goods that arrive in the warehouse
40. Evaluate condition of stock and ensure quality check is undertaken
41. Preparing Charter Party agreements, Fixture Notes.
42. Communicate with vessel owners with regards to mobilization of tugs & barges, vessels.
43. Preparing LPO, berthing request.
44. Communicating with the vessel agents for tendering of Notice of Readiness (NOR) at load port & discharge port, registration of barges at the load port, custom clearance, immigration, obtaining vessel suitability from the discharge port, berthing, statement of facts.
45. Calculation of demurrage.
