• Responsible for coordinating and maintaining the records of business transactions and office activities of the Purchasing Department.
• Supporting the purchasing department will all elements of administration to ensure its smooth running and functioning.
• Managing documentation and filing related to the purchase department.
• Matching supplier delivery notes with GRN’s and chasing suppliers for delivery dates.
• Processing purchase orders for goods and services; advising staff on purchasing requirements.
• Organizing the on time delivery of purchased supplies to the company.
• Liaising with suppliers in relation to any cost or invoice queries and obtaining a resolution.
• Being the main point of contact for supplier problem resolution and instigating the necessary corrective actions.
• Archiving /Scanning/Printing - Renaming, recording and filing incoming hard copies of drafts (Internal and External)
• Ensuring all management system documentation is the current version and easily accessible.
• Recording, checking and tracking all incoming and outgoing export documents.
• Processing and recording incoming and outgoing vendor data and shipping documents.
• Maintaining document logs for correspondence, material approval submittals.
• Maintaining all tracking records and ensuring that they are initialed when a file is taken from the filing room
• Documentation Clerk - outside and inside company documents.
• Prepare certificates and Office management.
• Prepare EX Forms and Sales Contracts with banks and follow up them.
• Transfer Funds and manage company accounts through banks.
• Prepare and Send monthly VAT files to Taxation department.
• Perform routine maintenance on assigned computers and LANs and WANs.
• Manage and troubleshoot problems and errors, as and when they occur, ensuring that downtime is minimized.
• Install and configure computer workstations, and ensure that they are in good working order.
• Manage security options on software, to ensure that all data remains confidential and safe.
• Perform one on one computer coaching to users (Students), and provide them with information on self-help Providing general support and one-to-one assistance for pupils.
• Producing accurate and up-to-date records and reports as required.
• Monitoring a pupil’s performance throughout the year.

• Assisting in implementing Individual Education Programs for students.
• Ensuring report tables and listings accurately reflect data within a database.

• Occasionally carrying out various administration tasks like, photocopying, filing.
• Reviewing validation output and performing specified manual checks on the data to ensure consistency and completeness.
• Entry Registration Data for Students.
• Collaborate and distribute these students’ data among colleges.
• Prepare periodical reports for each college with student’s grades.
• Extract student’s graduation certificates.
