Job Profile:

Responsible for implementing and managing the document control procedures and systems to ensure that all documents produced and received are controlled and distributed in a secure, organized and timely manner.

• Responsible for the establishment of Document Control Procedure which include the drawing schedule control procedure, document submittal and receipt procedure, secrecy observation procedure, document status indication procedure etc.
• Liaison with the project team member for preparation of all technical submissions such as Material Submittal, Technical Submittal, Method Statement, and Request for Information (RFI), ensuring all submissions are submitted in a timely manner, appropriate approval / rejection are obtained and formally recorded and that changes and revisions are managed as part of the document control process.
• Liaison with project team for the preparation of presentation materials as necessary.
• Follow-up vendors for document submissions and follow-up engineers for timely approval of document submittals.
• Follow up vendor for test certifications & other acceptance documentation requirements.
• Keeping track of all documents correspondences and transaction, including maintaining and update all document registers.
• Control of issue and receipt of all documents and drawings.
• Monitoring and updating any change and modification of the technical documents. Highlighting any deviation to Engineering manager for attention.
• Liaison with project team for the preparation of presentation materials as necessary.
• Preparation and maintaining all types of records and reports for audit purpose
• Screening of all Emails and distribute to the concern Departments.

• Overall controlling of documents, arranging, preparing and onward submission of documents to the consultant/customer.
• Properly entering the Contractor and Tender Drawing in Computer, Stamping various stamps on the Drawings and distributes it to the concerned Departments.
• Receiving the drawing from Design /engineering Department and entering it into the computer, making submittal and then submitting it for approval to the consultant.
• Distributing the approved drawings to the Project Manager, Construction Manager and project engineers etc., and keeping master copies in the file.
• Preparing various submittal such as Material Submittal, Technical Submittal, Method Statement, and Request for Information (RFI) etc. for the approval in Expedition (primavera) Version 10.1 System.
• Keeping all records (Subcontractor workshop drawings, Technical submittal, Sample submittals, Site Instruction etc. as per document control Procedure).
• Preparation of various computerized reports used by Document Tracking System developed by Al Habtoor Engineering IT Department.
• Preparing weekly and monthly reports and submitting it to the concerned department. (Planning & Commercial Department)
• Coordinate with the data entry operators of technical and non-technical documents to make sure that the information entered are complete and correct.
• Draw the attention of the concerned person/departments for the outstanding and pending actions have to be taken on their part.
• Keeping and maintaining confidential documents and/or information with utmost credibility.
• Establish and maintain cooperative working relationships with all levels of the organization.
• Coordinate with all concerned departments for all related document control issues.
