Orchestrating the support function across all administrative functions and various departments and handling a broad mandate ranging from office administration to asset maintenance and management, HR support and petty cash management.
Maintaining quality of service within the reception area
Partnering with HR to update and maintain office policies as necessary and assist HR with on-boarding of new employees as well as several elements in the employee lifecycle such as compensation and benefits administration.
Responsible for the upkeep of the office premises, managing inventory, supplies and equipment, in addition to arranging for necessary repairs in coordination with IT & Facilities Management.
In-charge of negotiating rates with hotels, travel agencies and vendors for office supplies (in conjunction with the procurement team, if necessary).
Managing supplier and client contact database, formulating industry research and reports as required
Assisting with the creation of marketing collateral and process documents, coordinating with printing, graphic design and other external parties as needed.
Handling the events calendar and correspondence with event organisers, assisting in managing company exhibit/conference registrations and stand design, setup and budget
Updating website content and assisting in content creation for awards submissions to industry related platforms.
Report directly to the Group Risk Manager and team members
Keeping track of meetings, appointments and schedules of the team
Handles general secretarial duties such as receiving phone calls, updating reports, formatting presentations, business correspondences, minutes of meetings, etc.
Prepares/processed all necessary documents for the team such as business reports, travel arrangements, hotel/airline bookings, leave or business trip requests, travel expenses, etc.
Serves as focal point of Risk Management and assist all individuals related to CCC projects
Acknowledgment receipt of incoming documents and expedite the distribution to the concerned department/person and furnish copy to the RM Database.
Maintain and update filing system for the department (hard and soft copy files)
Responsible for stock monitoring and requisition of stationeries for the department
Time keeping of all staffs within the department
Administrative work
Assist in maintenance payments duties such as entering of invoices in the property management system, predict cash flows of buildings, etc.
Assist in the post dated cheques department with their daily tasks.
Completed a project with ADCB regarding ADCP loans rate revisions.
- Provided administrative assistance to the Center for Governance department of the company.
- Assisted in organizing seminars and conference for the department.
