• Implement and maintain document control processes and procedures
• Develop and maintain the Document Management System
• Manage all flows of documents either in electronic form or on paper support
• Ensure Document Management accordingly to established procedures or standards (documents
numbering, formats, issuance, review, dispatch, recording and archiving)
• Maintain and manage electronic and hard copy documents as required
• Process incoming documentation (registration in the logs, internal distribution, archiving)
• Process outgoing documentation (transmit to Client and Suppliers/3rd parties)
• Makes sure that controlled copies of latest approved documents and drawings are distributed
internally and externally (Clients and Suppliers)
• Ensure control and coordination of projects documentation and data
• Ensure all drawings/documentation are correctly identified, distributed and filed/stored
• General document control activities such as photocopying, scanning, analysis of supplier’s
Documents.
• Assistance in the preparation collation and issue of reports and registers as may be required
• Monitored technical documents review and approval in accordance with agreed schedule
• Monitoring of documentation progress in cooperation with the project planner
• Ensuring the use of standardized forms and templates
• Set-up Projects folders and facilitate Project communication process
• Establish and maintain the Master Document Register in cooperation with the Project team
• Collate, produce and submit QA Documentation for Client
• Uploading all related documents to Sap NetWeaver Portal for Wasl
• Screens incoming telephone calls in order to provide assistance or refer call to appropriate staff
member
• Manages assigned units mail; screens incoming correspondence in order to response and prepare
the necessary requirements.
• Prepares various forms and fill in as per the request of our clients.
• Prepare documents for every staff
• Maintain accurate and up- to date office files & records
• Serving as Administrative liaison for all positions reporting to the Chairman
• Providing administrative support, which includes organization and daily maintenance of office,
communication system, filing, correspondence, copying, etc.
• Assistant of CEO & Senior Architect, Operations Manager
• For Accounts preparing excel sheet for petty cash, calling clients for payments
• Arranging travel, visa, accommodation and occasionally
• Responsible in sending out mail shots & company profiles to the clients.
• Draft and or type, word process, format, edit, revised quotation, lpo, inquiry, invoices to be sent to the
client
• Encodes & update client’s data in the company database
• Communications: telephone, routine calls for the prospective clients, taking messages, distributing
mails, filling documents
• Create and maintain filling system for the staff, applying visa thru online as per DMCC, preparing
necessary documents for any kind of renewal purpose
• Reply to some correspondence that comes in the company
• Look after the inventory of the office supplies like paper, pens, ink etc
• Performing clerical tasks
• Open and distributing the mails
• Coordinate repairs to office equipment
• Screen incoming calls in order to provide assistance.
• Assisting all the Project Managers & Engineers in the site.
• Response to all business correspondence for the one they are submitting in the site.
• Receiving all the documents together with the site drawings and reply on the attached letter take other necessary documents and forward it back to the site.
• Take minutes at meetings.
• Maintain office files and drawings.
• Updating & reporting of the detail job.
I just finish my course and i was not able to take the board exam
