Organizing and maintaining diaries and making appointments and set up meetings (internal &
external)
• Prepare Board Members and Shareholders meeting materials.
• Dealing with incoming emails, faxes and post, often corresponding on behalf of the manager
• Providing assistance to Executive’s personal undertakings
• Responsible for all administrative tasks within the sales and technical team
• Organize domestic and international travel arrangements including booking flights, hotels
accommodations, tracking air miles and completing visa applications
• Chase the Team in meeting deadlines, replying to vendors/suppliers in a timely manner.
• Prepare excel reports (generate pipelines, leads and revenues report of the Sales Team)
• Support in the creation of opportunities in CRM and qualify sales when needed
• Assist the Sales team in preparing the agenda, scheduling meetings with Vendors/Suppliers
especially when attending events or conferences.
• Keep a track of the expense of the Technical team and accordingly update the yearly budget (OPEX,
CAPEX)
• Coordinating and liaising with HR department concerning personnel issues (including staff visa
applications, memos, exceptional approvals and monitor holidays)
• Support the Procurement team in the creation of Purchase Requisitions and follow through the
approval with the stakeholders
Assist department head; generate sales/incentive report for the team on a weekly/monthly basis, reply
escalation emails on his behalf.
• Check all reservations are correctly loaded.
• Oversee the gathering of market information on competition.
• Check that all rates and tariff are accurate as per contracts and rate sheets.
• Input all reservations from all sources (over the phone, online, email & brokers)
• Deal with reports on a daily/weekly or monthly basis.
• Reply to email inquiries and forward other concerns to the respective teams.
Customer Service:
• Provide excellent customer service as per company policy and procedures.
• Resolve customer issues promptly, within company guidelines, before escalating to higher level.
• Assist breakdowns issues and forward to the recovery assistance team.
• Attend to customer needs, understand their requirements so that maximum number of enquiries
are converted into reservations at best prices.
• Handle all reservations related documentation including inputting reservations in to the front end
car rental system.
• Maintain an up to date knowledge of products, tariffs, and procedures to maintain maximum profitability.
Inform customers of documents required for rentals.
• Prepare and verify daily reservation manifest.
• Address customer complaints and service related issues to ensure total customer satisfaction.
