Senior Facilities Administrator/Executive
• Manage the CAFMS (MAXIMO), including receiving work request, Creating, assigning work orders, entering system data, and providing the overall system administration in MAXIMO.
• Sales of AMC, Consultation and other services.
• Direct point of contact to the client in regards to any request.
• Prepare for documents for Internal and external audits.
• Creating and closing Service Request, CM, RM and PM.
• Scheduling, dispatching and following all PPM activities.
• Assist the Facilities Manager in all aspects of project implementation as needed.
• Support the Facilities Manager with external contracts as needed.
• Manage the Security access-control database in conjunction with the Security Contractor.
• Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action between departments.
• Coordinate all Facilities activities, work direction, and support systems.
• Supervise and train facility employees and contractors as needed.
• Set up, maintain, and organize department's central files, information, filing, and messages.
• Prepare and maintain RFP’s, bid information, and other contract documents.
• Prepare internal bill-backs and documents for events supported by the Facilities organization.
• Take the lead in variable works as per the client requirements, carry the site survey, coordinate with the in-house/vendor team for proposals and execute the work as per the client’s project time line.
• Liaising with the SSM and OEM service provider for any malfunction or modifications in the SSM system as per the required site standards and regulation.
• Liaise with the different authorities like DCCA, DCD etc., for the work inspections and any certifications required for client.
• Inspecting the fit out works in the site to ensure the HSE protocols and maintained and warn contractors if violated.
• Taking over Projects on behalf of landlord from the main contractor/consultant, submitting snag reports and execution of same with contractors during DLP period.
