Providing overall assistance in the smooth functioning of the office administration. Receiving calls, preparing all correspondence, filing all documents for future reference, collecting tender documents, monitoring the submission of various tenders and quotations, checking emails, arranging required gate passes for various construction sites. Each and every communication of the organisation is passing through my hands and that has given me thorough knowledge about the major activities of the organisation and status of each activity. This helps me to give proper information to my superiors about the current situation of each activity and avoid any delay in the completion of the tasks in time. Being a part of a Civil Construction Company my responsibility begins at the tender stage of a project. Collection of tender documents, noting the dates of site visit and submission of tender, sending inquiry to suppliers and subcontractors, chasing these inquiries and collect the quotations on time to help the estimation department to prepare the bid. Draft the technical and commercial submissions of the tender including memorandum of procedure and method statement if any. Once the project is awarded to the Company then starts the next step of activities including preparation of performance Bond, arranging CAR Policy, arrange required gate passes for the workers and staff. Help in negotiation with the suppliers and subcontractors of this project and finalize the rate after obtaining considerable discount from them. The next step is placing order to the proposed suppliers and subcontractors for executing their works. If there is any delay in carrying out the work as per the scheduled programme bring this matter to the notice of the clients and record the same to avoid penalties in future due to delay in completion of the project. Once the project is completed necessary documents are prepared for handing over the project.
