• Procure and purchase any product/item that the company may need to maintain operational and mission readiness on the ships.
• Ensure transparency in processing logistics and purchase orders so that everyone can identify the orders status such as (Request date, order acknowledgment by the supplier, invoices due date, ETA of items to the shipping destination in case of spare parts procured internationally).
• Liaison with our department head for the quotation’s comparison list for 1st phase approval as well for the freight cost and transit time regarding the spare part dispatch.
• Liaison with ship master and C/E regarding the requested items if there are any unclarified items with non-specification or IMPA code mentioned in the requisition and clarifying all doubts or information that the supplier might have regarding our requisition, with the Master in case of Deck and engine request and with C/E in case of Spare parts and engine lube oil requisitions.
• Co-manage with the vessel DPA and technical superintendent all procurement activities including:
Prices, item availability and requisition level of urgency, items specifications and remarks given by the supplier.
• Make recommendations to management on the procurement processes and system for the purpose of enhancement. Work with management to implement changes to procurement processes as requested.
• Implement Strategic Procurement including sourcing strategy, vendor selection and evaluation, quality management, and performance measurement.
• Review purchase terms and conditions, negotiate the vendor purchase orders and contracts.
• Monitoring the delivery status of the items by following up with the vendor and insure all items to be delivered on board on time with nothing missing.
• Ensure quality and quantity by following up with ship master or C/E when they revert with signed and stamped delivery notes with their remarks written if any.
• Following up with the vendor if any of the procured items are rejected by ship master or C/E for bad and low quality which is not suitable for our quality standards.
• Ensure full compliance of procurement activities with the Company’s Purchasing Policies and Procedures. Evaluate and update policies and procedures as needed.
• To maintain procurement records for the items supplied for each vessel as well for invoices to follow up for due dates.
• Assisting Crewing department if any help necessary regarding crew issues and medical situations if any.
• Updating vendor/agencies lists and conducting performance and quality analysis for each party to keep in mind future business to be held with these parties or no.
